Role Overview AppTech is seeking an exceptionally organized, detail‑driven Customer Support & Onboarding Operations Specialist to support our COO and core operational workflows. This role blends customer support, onboarding, underwriting preparation, document verification, cloud‑file management, and administrative support . You will help onboard new accounts, gather underwriting documents, verify information using AI and online resources, and prepare clean, accurate packages for our internal verification team and banking partners. You will also support customer inquiries and gradually grow into more independent Customer Support and Customer Success responsibilities. This role is ideal for someone who is logical, organized, tech‑savvy, and capable of working independently without constant direction . Key ResponsibilitiesCustomer Support & Success Respond to customer inquiries with professionalism, clarity, and accuracy. Assist customers through onboarding steps, document submission, and account setup. Provide follow‑ups and ensure customers complete required tasks. Onboarding & Underwriting Preparation Gather required underwriting documents from customers. Use AI tools and online resources to verify document accuracy, business information, and compliance details. Organize and prepare complete onboarding packages for internal verification teams and banking partners. Maintain strict accuracy and consistency across all files and submissions. Cloud File Management & Documentation Manage cloud‑based file systems and shared folders with impeccable organization. Maintain structured, audit‑ready documentation for compliance and underwriting. Ensure all customer files are properly named, stored, and version‑controlled. Administrative & COO Support Work directly with the COO to learn workflows, processes, and operational priorities. Take initiative to identify tasks, follow up on open items, and keep projects moving. Prepare summaries, spreadsheets, and checklists as needed. Technical & Operational Tasks Use Excel to organize data, track onboarding progress, and prepare reports. Create and update Jira tickets for internal teams. Learn internal systems quickly and adapt to new tools as needed. Required Skills & Qualifications Exceptional organization skills — this is the most important requirement. Strong logical thinking and ability to follow structured workflows. Experience with cloud‑based file systems (Google Drive, OneDrive, Dropbox, SharePoint, etc.). Excellent written and verbal communication skills. High proficiency in Excel (sorting, filtering, VLOOKUP/XLOOKUP preferred). Ability to work independently without micromanagement. Strong initiative — able to identify work, take ownership, and move tasks forward. Comfortable using AI tools and online resources to verify information. Professional maturity and ability to handle sensitive documents. Preferred (Not Required) Skills Experience in fintech, payments, banking, or underwriting. Familiarity with Jira, SQL, or CRM systems (Zoho preferred). Customer support or customer success experience. Exposure to compliance or documentation‑heavy environments. Work Environment & Schedule Hybrid role based in Carlsbad, CA . Flexible schedule with consistent reliability required. Occasional in‑person meetings or team sessions as needed.
