Job Description

Multi-Clinic Veterinary Organization Position Summary We are seeking a proactive and highly organized Administrative Assistant to serve as a critical partner to our practice leadership. This role supports the operational and strategic functions of a multi-site veterinary organization, ensuring efficient coordination across clinics and facilitating seamless communication between leadership and teams. The ideal candidate thrives in a fast-paced environment and is passionate about supporting a mission-driven team.
Duties & Responsibilities Executive Support:
Manage calendars, coordinate leadership meetings, and handle travel arrangements for the Practice Manager and leadership team.
Operations Coordination:
Assist in standardizing workflows and communication systems across multiple clinics; monitor KPIs and assist in operational reporting.
Project Management:
Support the execution of strategic projects, such as clinic expansions, service line growth, and workflow improvements.
Team & Culture:
Coordinate staff onboarding, training initiatives, and team events to reinforce company values and a positive workplace culture.
Communications Liaison:
Draft and distribute professional internal communications to ensure consistent messaging across all clinic locations.
Requirements Experience:
2+ years of experience in administrative, operations, or support roles (multi-site or healthcare experience preferred).
Education:
Associate business degree preferred or equivalent professional experience.
Technical Skills:
Proficiency in Microsoft Office, Google Workspace, and familiarity with practice management software or project management tools (e.g., Asana, Trello).
Organization:
Exceptional attention to detail with the ability to manage multiple priorities and deadlines.
Communication:
Strong written and verbal skills with a high degree of emotional intelligence and discretion. Work Environment This role involves a combination of office-based work and travel between our various clinic locations. Requires flexibility for occasional after-hours support during urgent operational needs.
Compensation:
$25.00 - $29.00 per hour (based on experience) How to
