Job Description

POSITION SUMMARY
The general office assistant will assist with answering multi-line phones, greeting clients, booking appointments, filing, scanning, producing and submitting health certificates, VFD's, and any other needed forms for various client needs. Other responsibilities will include lab assistance (fecals, milk cultures, IgG's, laundry, surgery pack sterilization, sample submissions to outside labs, etc.), cleaning, animal handling, the ability to be cross trained for various duties throughout the clinic, and other duties as assigned by the Office Manager or Practice Owners. This position will vary in hours depending on the seasonal demand of the practice.

Essential Functions:
  • Regular duties include, but are not limited to: customer service, answering phones, greeting clients, booking appointments using logistical reasoning with calendar scheduling for veterinary ambulatory service, money handling, willingness to cross train between front office, lab, and on occasion doctor assistant.
Other duties include preparation of supplies for farms, CVI, EIA and VFD submission using Global Vet Link, attaching documents to client files and emails. Reporting lab results to doctors in a timely manner. Taking messages and reporting to doctors as needed. Preparing orders for clients and cashing out transactions.
POSITION QUALIFICATIONS
Competencies:

  • General office skills - phone etiquette, filing, scanning, etc.

  • Familiarity with google sheets and documents, Excel and Word, ability to electronically file and attach documents
  • Usage of maps in coordination with calendar scheduling

SKILLS & ABILITIES
Education:
Minimum of High School diploma or equivalent
Experience:
Minimum of two years in the veterinary or medical field preferred. Professional office and lab experience a plus. Must be computer literate, with working knowledge of Word, Excel, Google Docs and Sheets. Customer service background required and experience with cash transactions. Active problem-solving skills, communication and collaboration skills.
Computer Skills:
File management, internet usage, sending, receiving and organizing emails, including attaching documents, basic proficiency in word processing (Microsoft Word, Google Docs) and spreadsheets (Excel), basic IT trouble shooting
Certificates & Licenses:
driver's license required, veterinary assistant / technician license not required but preferred or ability to attain.
Other Requirements:
  • This position can require assisting doctors with safely managing and restraining large animals during examinations and procedures.
Collection and preparation of samples (blood, urine, feces) for testing, and filling/renewing prescriptions. Management of client records.
Physical Requirements:
Must be able to lift up to 50lbs, may work outdoors during inclement weather, ability to travel by car, high frequency of computer keyboarding, high frequency of viewing a computer monitor, etc.
WORK ENVIRONMENT
Work is performed primarily in office, vehicles, and outdoor settings, in all weather conditions, including temperature extremes, during day. Work is often performed in emergency and stressful situations. The noise level in the work environment is usually quiet in office settings and moderate in other situations.
