Job Description

Posting Details The Law Enforcement Records Bureau collects, analyzes, and distributes criminal justice information utilized by law enforcement agencies, courts, corrections, and civil agencies throughout New Mexico to support public safety and informed decision-making. The bureau is responsible for maintaining accurate and comprehensive criminal justice records while ensuring timely access to information for authorized users. In addition to supporting law enforcement and criminal justice partners, the bureau also responds to requests from the public and other agencies. Through a variety of applications, programs, and services, the Law Enforcement Records Bureau provides essential support, data management, and customer service to meet the operational needs of criminal justice partners and advance the mission of protecting public safety. Why does the job exist? This position exists to provide operational and administrative support for the Criminal History Records Unit by ensuring the accurate organization, maintenance, and delivery of criminal record jackets, mail, and related documentation. The role supports efficient access to criminal history records for internal staff and partner agencies while maintaining the integrity of physical and electronic records. In addition to daily operations, the position contributes to long-term records management initiatives, database cleanup, and file organization projects that improve the accuracy, accessibility, and efficiency of the agency's criminal records systems. How does it get done? Monitor and process daily criminal history jacket requests, track requests in Excel, retrieve files, and deliver them to requesting offices. Organize, repair, relabel, and refile returned criminal history jackets to maintain standardized and accurate file storage. Collect, timestamp, sort, and distribute incoming mail to the appropriate offices and organizations. Deliver mail and criminal history jackets to onsite offices. Process unclaimed vehicle reports by verifying VIN information using the NHTSA database and maintaining retention files. Support the ongoing Jacket Consolidation Project by merging SORNA and standard criminal history jackets, correcting filing errors, removing duplicate folders, and organizing more than 600,000 physical records. Perform data quality maintenance within the Mark43 database by identifying and removing duplicate criminal identity records. Assist with long-term file maintenance by inspecting, repairing, relabeling, and permanently organizing criminal history jackets to ensure record accuracy and accessibility. Who are the customers? Minimum Qualification No prior experience or training required. Employment Requirements Employment is subject to a pre-employment background investigation and fingerprinting in accordance with all terms and conditions of federal and state law, rules and regulations; and is conditional pending results. Continued employment is contingent upon remaining felony free, per Section 5.12.1.1 of the Criminal Justice Information Systems Security Policy. In addition, the selected candidate must possess and maintain a valid driver's license and obtain a Defensive Driving Certificate from the State of New Mexico. Working Conditions This position is based in an office environment, involving extensive use of computers, video display terminals, and telephones, with extended periods of sitting. Physical requirements include the ability to lift and carry up to 30 lbs, along with frequent walking, standing, sitting, and bending. Occasional statewide travel may be required.
