Job Description
Job Summary Our client, a leading Energy & Utilities provider, is seeking a Document Controller II to join their team! This position is located in Los Angeles, CA. This role will support a large-scale records management initiative focused on organizing, categorizing, and maintaining regulatory documentation. The ideal candidate is highly organized, detail-oriented, and capable of handling large volumes of physical records while ensuring compliance with document retention and disposal requirements. Core Responsibilities Sort, organize, and manage high volumes of regulatory hard-copy records Review and separate records by proceeding number and applicable categories Identify and eliminate duplicate records Maintain accurate disposal logs and document tracking records Dispose of records according to established company policies and procedures Box, label, and prepare records for relocation and storage Identify and segregate confidential, legal hold, or sensitive documentation Organize, index, and maintain document libraries to support accessibility and compliance Ensure records are stored securely and accessible to authorized personnel Support records management and document control processes across the department Assist with audits, record retrieval requests, and documentation inquiries Maintain accuracy while working within established deadlines and project timelines Required Skills/Experience High school diploma or equivalent 2+ years of document control, records management, administrative support, or related experience Strong organizational skills and attention to detail Ability to manage large volumes of documents accurately and efficiently Experience maintaining document libraries, records repositories, or filing systems Strong written and verbal communication skills Ability to follow established procedures and compliance requirements Proficiency with Microsoft Office applications Ability to work independently and prioritize competing tasks Ability to perform physical file handling, including lifting and moving boxes Preferred Skills/Experience Associates degree or Bachelors degree Experience working in regulated industries such as utilities, government, healthcare, or legal environments Prior records management or document retention experience Experience supporting regulatory documentation processes Knowledge of document indexing, storage, and disposition best practices Key Competencies & Behaviors Exceptional attention to detail Strong organizational and time-management skills Sense of urgency and ability to meet deadlines Dependable and self-motivated Process-oriented mindset Ability to maintain confidentiality and handle sensitive information appropriately Strong problem-solving and critical-thinking skills Flexibility and adaptability in a fast-paced environment
