The primary responsibility of this position will be to ensure that completed job travelers, inspection records, certifications, and related quality documents are properly organized, scanned, filed, and archived for easy retrieval and record retention. This is an administrative support position within the Quality Department and is ideal for someone who is highly organized, comfortable working with documentation, and able to maintain accurate records in a manufacturing environment. Key Responsibilities Collect, organize, and archive completed manufacturing job travelers . Review traveler packages to ensure required documentation is present before filing and archiving. Scan and electronically archive travelers and supporting quality documentation. Maintain organized electronic and physical filing systems for quality records. Ensure records are filed according to job number, part number, purchase order, customer, or other established filing requirements. Retrieve archived travelers and quality records when requested by Quality, Production, Management, or customers. Assist with maintaining inspection reports, certifications, outside processing documentation, material certifications, and other job-related records. Identify missing or incomplete documentation and communicate with the appropriate department for resolution. Maintain accurate record-retention and document-control practices. Assist the Quality Department with preparation and retrieval of documentation for customer or regulatory audits. Enter or update quality/document information in company systems as required. Maintain confidentiality and accuracy of customer and company records. Support general administrative needs within the Quality Department. Help maintain a clean, organized, and efficient Quality documentation area. Perform other related duties as assigned. Requirements High school diploma or equivalent required. Previous administrative, document control, filing, or clerical experience preferred. Experience working in a manufacturing, aerospace, or quality environment is a plus. Strong organizational skills and attention to detail. Ability to manage a large volume of paperwork and electronic records accurately. Basic computer skills, including Microsoft Office and electronic filing systems. Ability to scan, upload, rename, organize, and retrieve electronic documents. Ability to follow established procedures and record-retention requirements. Strong communication skills and ability to work with multiple departments. Experience with an ERP or manufacturing system such as JobBOSS is a plus. Physical Requirements Ability to sit or stand for extended periods. Ability to work at a computer and scanner for portions of the workday. Ability to handle and organize boxes, binders, and files containing manufacturing records. Ability to lift approximately 20-25 lbs. as needed.
