Job Description

Description We are looking for a Document Management Specialist to support the accurate handling of inbound records and digital files for a Long-term Contract position in Sacramento, California. This role focuses on reviewing scanned materials, organizing documents correctly, and ensuring information is matched to the appropriate claim records with a high degree of accuracy. The ideal candidate brings strong attention to detail, sound judgment when researching incomplete information, and the ability to maintain quality standards in a fast-paced document control environment.
Responsibilities:
  • Examine incoming scanned mail and assign clear, standardized document names and classifications.
  • Research records that arrive without a claim reference and route potential new claims to the appropriate intake team.
  • Escalate documents lacking sufficient identifying details to customer support or other internal partners for additional review.
  • Conduct quality checks on scanned images to verify readability, completeness, and the accuracy of associated claim numbers.
  • Return or reject files that fail image or identification standards and communicate issues related to invalid submissions.
  • Index digital documents to the correct claim file by reviewing available data points and confirming matches within claims systems.
  • Enter key document details, including service dates and document categories, into the claims management platform.
  • Assist with additional document control tasks, special projects, and other assigned operational support activities. Requirements
  • Experience performing detailed document review in a records, claims, or administrative environment.
  • Ability to identify inconsistencies, research missing information, and make accurate file associations.
  • Strong understanding of quality control practices for scanned images and electronic documentation.
  • Proficiency with data entry and navigating internal systems to update and retrieve record information.
  • High level of accuracy, organization, and attention to detail when handling sensitive documents.
  • Effective written communication skills for reporting document issues and coordinating with internal teams.
  • Ability to manage repetitive review tasks while maintaining productivity and consistent standards.
