Overview:

We are seeking a detail-oriented and experienced Document Control Specialist to support an active portfolio for a major utility client in the San Diego area. This role is responsible for managing the full lifecycle of project documentation

  • from intake and filing through transmittal, version control, and audit readiness.

The ideal candidate is organized, systems-savvy, and comfortable working in a fast-paced utility environment with multiple concurrent project teams.

Key Responsibilities:

Manage and maintain project documentation across an active portfolio of utility projects

  • including drawings, RFIs, submittals, change orders, and correspondence logs. Ensure accurate version control and proper filing of all project documents in accordance with utility documentation standards and internal protocols. Coordinate and track document transmittals between internal teams, contractors, engineers, and stakeholders
  • ensuring timely delivery and acknowledgment.

Maintain and administer document management systems (Point, Unifier, or equivalent), ensuring data integrity and accessibility for all project team members. Track and log submittals, RFIs, and project correspondence; follow up on outstanding items and escalate as needed to keep workflows moving. Support audit readiness and regulatory documentation requirements by maintaining organized, traceable records throughout the project lifecycle. Assist project managers and engineering teams with document-related administrative tasks, including formatting, publishing, and distributing project materials. Identify and flag documentation discrepancies or gaps; work proactively with team members to resolve issues. Support continuous improvement of document control processes, naming conventions, filing structures, and reporting cadences. Perform other document control and administrative duties as needed in support of the broader project team.

Required Qualifications:

3+ years of document control experience supporting capital projects, utility infrastructure, or engineering environments. Proficiency in document management systems

  • Point, Unifier, Aconex, or similar platforms.

Strong understanding of document control principles including version control, transmittal management, RFI and submittal tracking, and records management. Proficiency in Microsoft 365 applications (Excel, Word, Outlook, Teams). Excellent attention to detail and organizational skills with the ability to manage high volumes of documentation across multiple projects simultaneously. Clear written and verbal communication skills; comfortable coordinating with engineers, project managers, contractors, and stakeholders. Ability to work independently in a hybrid environment with onsite availability in the San Diego area as needed.

Preferred Qualifications:

Experience supporting electrical engineering, distribution, transmission, or substation projects within a utility environment. Familiarity with SAP, Power BI, or other utility project systems. Experience working within a PMO or program controls environment. Associate's or Bachelor's degree in Business Administration, Construction Management, or a related field
