Fluency in both English and Spanish is required. Our Intake Specialists are often the first interaction a potential client has with our firm, and that first conversation matters. We are looking for someone who is confident on the phone, compassionate with people, organized with details, and comfortable taking initiative. Potential clients may be calling after a car accident, injury, or other stressful situations. Your job is to listen, ask the right questions, gather important information, and help determine the appropriate next step. This is not simply an answering-the-phone position. Intake plays an important role in both the client experience and the growth of our firm.
What You'll Do:
Connect with Potential Clients Respond to new inquiries by phone, text, email, and web submissions. Conduct detailed intake interviews in both English and Spanish. Build rapport with potential clients and provide a professional, compassionate first experience with our firm. Clearly explain the intake process and what potential clients can expect next. Evaluate & Move Leads Forward Gather relevant information regarding personal injury and homeowners insurance claims. Identify important facts and potential issues based on the firm's intake criteria. Recognize urgent or high-priority matters and escalate them appropriately. Assist qualified potential clients through the process of retaining the firm and completing necessary intake documents. Follow up consistently with potential clients who have not yet retained the firm. Stay Organized & Follow Through Maintain accurate and detailed records of all client interactions and follow-up efforts. Keep leads and pending intakes organized so opportunities do not fall through the cracks. Coordinate with attorneys, case managers, and other team members regarding new and potential clients. Assist with reception and incoming calls as needed. Support additional intake and firm initiatives when necessary. What We're Looking For Fluent in English and Spanish - Required 1-2 years of customer service, sales, legal intake, call center, or other client-facing experience preferred. Personal injury experience is a plus. Strong verbal and written communication skills in both English and Spanish. Confident and professional phone presence. Ability to connect with people and build trust quickly. Strong listening and questioning skills. Excellent attention to detail and organization. Strong follow-through and sense of urgency. Ability to manage multiple leads, conversations, and deadlines at the same time. Comfortable working in a fast-paced, performance-driven environment. Ability to work independently while also being a reliable member of a team. Comfortable learning and using case-management software, phone systems, Microsoft Office, and other technology. Dependable, accountable, receptive to feedback, and willing to learn. Maintains a clean, professional, and workplace-appropriate appearance. Demonstrates professionalism and good judgment when interacting with clients, coworkers, and visitors. What Makes Someone Successful Here You do not need to know everything on day one. You do need to be willing to learn, take initiative, accept feedback, and follow through. The strongest Intake Specialists understand how to balance compassion with confidence and urgency . They care about the person on the other end of the phone while also understanding that potential clients need clear direction and consistent follow-up. At Sunshine State Law Firm, P.A., we value team members who bring initiative, curiosity, urgency, accountability, and a strong work ethic. Professional references may be requested from candidates who advance in the interview process. Sunshine State Law Firm, P.A. is an equal opportunity employer and considers qualified applicants without regard to any status protected by applicable law.
