Job Summary We are a high volume law firm seeking a proactive and detail-oriented Legal Intake Specialist to join our dynamic legal team. Responsibilities Conduct initial client interviews via phone or online to collect comprehensive case details across diverse legal fields such as real estate, estate planning, family law, and probate. Evaluate client needs and determine the appropriate legal services or referrals based on gathered information Manage and organize incoming client inquiries using Smokeball Case Management system. Assist in preparing initial documentation and supporting materials for attorneys and paralegal staff. Maintain confidentiality of sensitive client information while handling data entry, filing, and document management with precision Coordinate communication between clients and attorneys, ensuring timely follow-up and clear messaging Support administrative tasks such as scheduling appointments, managing phone etiquette, and maintaining organized records in compliance with procedural law standards Requirements Extremely detail oriented and self-motivated. Proficiency in Microsoft Office Suite. Exceptional organizational skills with keen attention to detail for data entry, filing, and document management tasks. Ability to handle confidential information discreetly while maintaining professionalism at all times. Strong verbal and written communication skills paired with courteous phone etiquette.
