Job Description

Our dynamic real estate and corporate law firm is seeking a driven, detail-oriented individual to join our team in an entry-level Legal Administrative Assistant role. This is an outstanding opportunity for a recent college graduate looking to build a long-term career in transactional real estate law with a clear path for advancement. This full-time, on-site position is based in our Central New Jersey office, Monday through Friday, 8:30 AM - 5:30 PM , with occasional overtime as needed. Unlike a traditional administrative role, this position offers direct mentorship from our Chief Closings Officer (CCO) and managing paralegals, with hands-on exposure to high-volume real estate transactions. The successful candidate will work closely with the CCO and experienced transactional paralegals while learning every aspect of the closing process. High-performing individuals will have the opportunity to fast-track into a Transactional Paralegal role , with long-term growth into supervising and managing legal assistants and paralegals within the department. Key Responsibilities Draft correspondence and other legal and administrative documents Prepare and review intake forms for accuracy prior to document preparation Assist with coordinating and supporting the firm's document preparation team Draft and send client correspondence and emails Prepare, organize, and upload loan packages and legal documents Enter and maintain accurate data in Excel spreadsheets and Quickbase (training provided) Open, organize, and maintain legal files from inception through closing Review executed legal packages for accuracy and completeness Confirm and track wire instructions Monitor post-closing items and follow up on outstanding matters Prepare FedEx shipping labels and coordinate outgoing packages Manage scheduling, calendaring, and departmental administrative support Answer incoming department phone calls and assist clients professionally Work directly with the CCO and transactional team to support the closing process and daily department operations Qualifications Bachelor's Degree required Excellent written and verbal communication skills Strong organizational skills with exceptional attention to detail Ability to manage multiple priorities in a fast-paced, deadline-driven environment Proficiency in Microsoft Office and Adobe Acrobat Professional demeanor with outstanding customer service skills Self-motivated with a strong desire to learn and build a career in transactional law Why Join Us?
