Harris Beach Murtha is in search of a Legal Administrative Assistant to join our Commercial Real Estate team in Ithaca, NY. You will thrive in this role if you have: 1-3+ years of administrative assistant experience (required) Law firm experience (preferred) Experience with commercial and/or residential real estate (preferred) High school diploma or equivalent Exceptional oral and written communication, and organizational skills Proficiency with MS Office, including Word, Outlook and Excel, and able to efficiently use technology resources The Legal Administrative Assistant will work primarily on matters with buyers and sellers, institutional lenders, realtors, attorneys, paralegals, and others in the sale and purchase of residential and commercial real estate. Do you have the drive and desire to: Prepare and process legal papers and documents requiring knowledge of legal format, terminology and procedures Handle incoming and outgoing mail, date stamp and distribute promptly upon receipt Coordinate conferences, meetings and appointments for attorneys and clients including conference room scheduling and preparation of materials Manage documents associated with buying/selling/financing real estate involving firm clients Coordinate/order updates of title documents, tax searches, survey maps and any other due diligence needed for transactions, as appropriate Follow-up with clients to schedule appointments and obtain signatures on various documents Coordinate work through word processing, copying and messenger services for the prompt production and delivery of documents, including hand deliveries within a four-block radius of the office, if appropriate/as necessary Process check requests, invoices and attorney expense reimbursement requests Communicate with in-house counsel for the client, counsel for the other party, realtors and clients concerning their transaction's status and developments Prepare title insurance based on attorney review Assist with other duties as needed Harris Beach Murtha recognizes everyone has a right to be included.
