Job Description

About Us:
We are a fast-paced criminal defense law firm dedicated to protecting the rights of our clients and delivering exceptional legal representation. If you're highly organized, detail-oriented, and passionate about providing excellent customer service, we'd love to have you on our team. This role is best suited for someone who already has experience working in a legal or professional office environment and is comfortable managing responsibilities independently. Because this position involves significant client communication, we are looking for someone who is comfortable answering phones, speaking directly with clients, handling routine questions, and taking ownership of tasks without needing constant direction.
Compensation Salary:
Starting at $45,000 annually , with higher compensation considered based on experience and skill level.

Paid Time Off (PTO): Combined PTO plan (vacation and sick time) of up to 19 days ( 152 paid hours) per year , prorated based on start date

Work Schedule:
Monday through Friday, 8:00 AM-5:00 PM with a one-hour unpaid lunch break

Reasonable flexibility with lunch breaks and occasional remote work when appropriate (e.g., illness or inclement weather), based on coverage and job responsibilities
Performance Reviews:
Annual performance reviews with opportunities for compensation increases based on performance and initiative

Key Responsibilities:
Answer incoming phone calls and assist clients with routine questions, case updates, and procedural information Serve as a primary point of contact for existing clients and ensure calls and messages are handled promptly Draft, prepare, and organize routine pleadings, motions, correspondence, and other legal documents E-file and manage documents through Case.net and other court systems Maintain and update physical and electronic case files Communicate professionally and compassionately with clients, court staff, prosecutors, and other offices Track court dates, deadlines, and maintain attorney calendar Request, organize, and track discovery Manage case progress, notes, and status in Clio Assist attorney with day-to-day case preparation and administrative needs Return client calls and emails regarding case updates and procedural questions Anticipate issues and follow up on tasks without needing constant direction
What We're Looking For:
Prior legal assistant, paralegal, or professional office experience required (Legal experience strongly preferred; candidates with several years of solid administrative office experience will also be considered) Able to work independently and take ownership of assigned responsibilities Strong phone, customer service, and client communication skills Comfortable speaking directly with clients and handling routine questions without escalating every call Highly organized with strong attention to detail Proficient in Microsoft Word, Adobe/PDF tools, and cloud-based document storage, with a strong understanding of confidentiality requirements Ability to multitask, prioritize deadlines, and stay calm under pressure Professional, respectful, and understands the expectations and dynamics of a professional office environment Familiarity with Clio and Case.net is a plus, but not required
