We are seeking an organized, detail-oriented Administrative Assistant to support our Safety Director and workplace safety programs. This role keeps safety records accurate, training on schedule, corrective actions moving, and important communications timely. The successful candidate will handle sensitive information professionally and work effectively with employees, supervisors, contractors, and outside partners. What You Will Do
- Prepare safety correspondence, reports, presentations, meeting materials, agendas, minutes, bulletins, and forms.
- Maintain controlled safety documents and records for training, inspections, audits, incidents, corrective actions, certifications, and regulatory requirements.
- Schedule new-hire orientations, recurring training, toolbox talks, inspections, audits, meetings, and safety committee activities.
- Track training completion, document revisions, permit and certification expirations, corrective-action owners, and due dates; issue reminders and overdue reports.
- Support incident and workers' compensation administration by gathering and securely maintaining authorized records and routing urgent reports promptly.
- Maintain spreadsheets, databases, dashboards, and weekly, monthly, quarterly, and annual safety reports.
- Assist the Safety Director during emergencies, incident investigations, and regulatory inspections. Minimum Qualifications
- High school diploma or equivalent and at least two years of administrative, office, records-management, or program-coordination experience.
- Proficiency with Microsoft Word, Excel, PowerPoint, Outlook, and electronic filing systems.
- Strong written communication, proofreading, data-entry, scheduling, organization, and customer-service skills.
- Ability to manage competing priorities, meet deadlines, maintain accurate records, and protect confidential information.
- Professional communication skills and a clean driving record. Preferred Qualifications
- Administrative experience in environmental health and safety, or familiarity with OSHA, Cal OSHA, workers' compensation, safety training, or regulatory recordkeeping.
- Experience with learning-management, incident-management, or EHS software.
Military experience is a plus. Work Requirements Regular computer and data-entry work is required. The position may occasionally involve entering operational or other work areas, wearing required personal protective equipment, adjusting work hours for training or urgent events, and lifting or carrying files, supplies, or training materials weighing up to 25 pounds. This is a drug-free workplace.
Pay:
$50,000.00 - $70,000.00 per year
