This is a hands-on leadership position for someone who can keep day-to-day maintenance operations moving while also managing the bigger picture: prioritizing work orders, leading maintenance personnel, directing vendors, overseeing major projects, controlling costs, maintaining service standards, and communicating confidently with property owners, tenants, and the property management team. The Director of Maintenance is expected to take ownership of the maintenance operation rather than simply coordinate it. That means identifying problems before they become larger issues, maintaining strong vendor coverage, ensuring work is completed correctly and on time, reviewing estimates and project costs, inspecting completed work, and providing reliable reporting to company leadership and property owners. This role requires regular travel throughout the assigned portfolio for property inspections, project oversight, troubleshooting, quality-control checks, and vendor or staff coordination. Mileage is reimbursed. The position combines field leadership with administrative and operational management and requires someone who is comfortable moving between properties, vendors, residents, owners, and the office throughout the week. The Director of Maintenance reports directly to company leadership and works closely with Property Management, Accounting, Leasing, and Ownership. Compensation This is a full-time salaried position with a base salary of $70,000-$80,000 , depending on experience. In addition to base salary, the position includes: Quarterly KPI-based performance bonuses tied to work-order performance, owner communication, financial reporting, quality control, and staff/vendor management. Major Project participation , providing additional compensation based on qualifying project-management fees earned by the company for capital improvements and renovation projects directly overseen or materially supported by the Director. Mileage reimbursement for required travel between properties and job sites. Eligibility for company benefits in accordance with applicable company policies. This role offers meaningful upside for someone who can build an efficient maintenance operation, control project costs, develop strong vendor and staff relationships, and consistently deliver a high level of service to our clients.
Essential Responsibilities:
Maintenance Operations & Work Order Management Lead and prioritize maintenance activity throughout the assigned portfolio. Monitor work-order volume, response times, completion timelines, and outstanding backlog. Ensure emergency maintenance requests are triaged and addressed promptly. Determine the appropriate response to maintenance issues, including internal staff deployment, vendor assignment, site inspection, or escalation. Maintain accurate work-order notes, documentation, photographs, estimates, and completion records in AppFolio. Identify recurring property issues and recommend longer-term solutions where appropriate. Maintain service-level expectations and ensure maintenance requests do not stall or fall through the cracks. Maintenance Team Leadership Provide day-to-day leadership and direction to maintenance personnel within the assigned region. Establish clear priorities, responsibilities, schedules, and performance expectations. Hold regular, organized check-ins with maintenance staff. Coach team members on communication, documentation, quality standards, efficiency, and follow-through. Monitor individual and departmental maintenance KPIs. Coordinate staffing and resources across properties based on workload and urgency. Participate in rotating after-hours, weekend, and holiday emergency coverage as required. Vendor Management Develop and maintain dependable vendor coverage across all major trades. Select and assign vendors based on scope, availability, pricing, quality, and past performance. Review vendor estimates and proposed scopes of work before approval. Monitor vendor responsiveness, communication, invoicing, workmanship, and reliability. Address vendor performance problems and develop alternate resources when needed. Negotiate pricing and help ensure the company and its clients receive appropriate value for services performed. Major Projects & Capital Improvements Manage qualifying renovation, repair, and capital-improvement projects across the company portfolio. Develop scopes of work and coordinate estimates, schedules, vendors, access, materials, and project sequencing. Communicate project recommendations, anticipated costs, timelines, and potential risks to company leadership and property owners. Track project budgets and compare estimated versus actual costs. Conduct site visits throughout construction or repair work to verify progress and workmanship. Coordinate final inspections, punch-list completion, documentation, and project closeout. Help ensure projects are completed efficiently, professionally, and within approved parameters. Property Inspections & Quality Control Conduct property, post-repair, turnover, and project inspections as required. Verify that completed work meets company standards before invoices are approved or projects are closed. Identify deferred maintenance, safety concerns, building-system issues, or upcoming capital needs. Evaluate materials, repair methods, and replacement options for appropriate quality and cost effectiveness. Maintain documentation supporting inspection findings and recommended work. Owner & Tenant Communication Communicate directly and professionally with property owners regarding significant maintenance concerns, repair recommendations, project scopes, budgets, and progress. Provide proactive updates rather than requiring owners or property managers to repeatedly request status. Communicate with tenants regarding inspections, access, scheduling, repair progress, and significant maintenance issues when appropriate. Work closely with Property Managers to ensure maintenance decisions align with owner expectations and property priorities. Escalate significant risk, cost, safety, or resident-relations concerns promptly. Financial Oversight & Reporting Prepare regular maintenance and major-project reporting for company leadership. Track project and turnover costs and help establish useful cost benchmarks. Review estimates against final costs and improve estimate-to-actual accuracy. Monitor budget variances and identify areas where costs can be better controlled. Support Property Management and Ownership in developing realistic maintenance and capital budgets. Ensure maintenance expenses, estimates, approvals, invoices, and supporting documentation are accurate and properly recorded. Turnovers & Property Readiness Provide leadership and oversight for maintenance-related turnover activity. Coordinate with Property Management and Leasing regarding move-out inspections, scopes of work, repair priorities, and readiness deadlines. Review larger turnover scopes and determine when work exceeds normal turnover activity and should be treated as a renovation or major project. Ensure completed units meet company quality standards before being released for leasing or occupancy. Operational Systems & Continuous Improvement Maintain accurate maintenance information and reporting within AppFolio and other company systems. Establish organized processes for recurring maintenance, inspections, vendor management, and project tracking. Identify inefficiencies and recommend improvements to maintenance workflows. Help develop standards, templates, vendor resources, and procedures as the portfolio continues to grow. Maintain strong responsiveness, reliability, documentation, and follow-through across the maintenance department.
