Job Description

About the Role CDG Maui is looking for an experienced, hands-on Equipment & Materials Coordinator to keep our construction equipment, baseyards, and materials organized and our job sites supplied. This person is responsible for tracking company tools, machinery, vehicles, and stored materials; coordinating equipment maintenance and repairs; receiving and organizing materials; and helping move equipment and materials between our baseyards and active job sites. This is a hands-on position that combines equipment knowledge, field coordination, material handling, and accurate record keeping . We are looking for someone who is organized, dependable, proactive, and communicates problems before they become delays. Project Managers are responsible for ordering project materials. This role coordinates with them on what is coming and when, verifies deliveries, organizes and stages materials, and makes sure the field team knows about shortages or discrepancies. What You'll Do Equipment & Fleet Coordination Maintain accurate records of the location, condition, and assigned use of company tools, machinery, vehicles, and trailers. Coordinate approved preventive maintenance, inspections, and repairs with mechanics and vendors and track items through completion. Identify and report equipment that is damaged, missing, overdue, or needs service before its next use. Track vehicle registrations, inspections, insurance dates, and applicable DOT requirements and coordinate renewals with office staff. Safely load, secure, transport, and unload construction equipment using appropriate company trucks and trailers. Coordinate approved rental equipment, including pickup/return dates, costs, and supporting documentation. Keep Field Operations informed when equipment is unavailable or could impact project schedules. Baseyard & Material Management Maintain accurate inventory of materials stored at CDG baseyards. Receive, inspect, and log incoming deliveries. Organize and label materials so they can be easily located and retrieved. Conduct regular physical inventory counts and resolve or report discrepancies. Monitor commonly used materials and flag shortages or excess inventory. Keep baseyards organized, secure, clean, and ready to support active projects. Job Site Material Coordination Coordinate with Project Managers on expected materials and delivery dates. Receive and verify deliveries against orders or packing slips for quantity, item, and visible condition. Coordinate and document material transfers between baseyards and job sites. Organize and stage materials so field teams can access them when needed. Keep Superintendents and Project Managers informed about delivery status, shortages, damaged materials, and timing. Look ahead with project teams to identify upcoming material needs and flag potential delays early. Purchasing & Documentation Send invoices, receipts, rental documents, delivery paperwork, and other supporting documentation to Accounting with the correct project or baseyard identified. Obtain approval before purchases, rentals, or use of a company credit card. Report missing paperwork, pricing discrepancies, delivery issues, or unusual requests before proceeding. Maintain accurate equipment, material, maintenance, and transfer logs. What We're Looking For 3+ years of experience with construction equipment, fleet, yard, material, or equipment coordination preferred. Hands-on knowledge of construction equipment and the ability to recognize basic equipment condition, maintenance, and repair needs. Experience safely loading, securing, towing, and unloading construction equipment on trailers. Strong organization and record-keeping skills. Proactive approach with strong follow-through — you identify problems early rather than waiting for someone else to find them. Comfortable coordinating multiple projects, deliveries, assets, and deadlines at the same time. Clear communication with Superintendents, Project Managers, vendors, mechanics, and office staff. Comfortable using spreadsheets, logs, and basic computer systems to maintain accurate records. Valid driver's license and acceptable driving record, with the ability to safely operate company vehicles while towing equipment trailers. Forklift experience and operator training/certification preferred. CDG equipment- and site-specific authorization will be required before operating equipment. Willing and able to work hands-on at baseyards and active construction sites and travel between locations throughout Maui. What Success Looks Like Equipment readiness: Company equipment is properly tracked, maintained, and available when needed. Service needs and downtime are communicated before they impact field operations.
Accurate records:
Equipment and material locations are current, and maintenance, registration, and inspection deadlines are tracked in advance.
Material readiness:
Deliveries and site transfers are coordinated with project schedules, and potential shortages or delays are raised early.
Delivery accuracy:
Deliveries are checked against order documents, discrepancies are documented promptly, and receipt at the correct location is confirmed.
Baseyard organization:
Equipment and materials are stored safely, logically, and consistently so the team can find what it needs without unnecessary delays.
Proactive communication:
PMs and field teams do not have to repeatedly follow up for information about equipment, materials, deliveries, or outstanding issues. Compensation $75,000-$90,000 annually , depending on relevant experience and qualifications, plus benefits. This is a full-time, Maui-based position with regular travel between CDG baseyards, vendors, and active construction sites. We are continuing to strengthen our field operations as the company grows and are looking for someone who takes pride in keeping equipment, materials, and the people relying on them organized and ready to work.
Pay:
$75,000.00 - $90,000.00 per year
