This is a fast-paced, hands-on position for someone who thrives in a constantly changing environment, can manage multiple priorities simultaneously, and understands the importance of discretion, professionalism, and attention to detail. The ideal candidate doesn't need to be told what to do. They anticipate needs, stay several steps ahead, and take ownership of responsibilities from start to finish. This role involves both professional and personal executive support , including communicating with clients and business partners, managing calendars and schedules, coordinating meetings and travel, and assisting with day-to-day operations. Non-traditional hours may be required based on business needs , and flexibility and availability when needed are essential. Key Responsibilities Manage and maintain the executive's daily calendar, schedule, meetings, calls, and appointments Coordinate and communicate with clients, business partners, vendors, influencers, and other professional contacts Act as a professional point of contact when communicating with partners and clients Follow up on emails, messages, calls, partnerships, and outstanding tasks to ensure nothing falls through the cracks Organize meetings, presentations, calls, and business engagements Assist with planning and coordinating domestic and international business travel Book flights, hotels, transportation, reservations, and other travel arrangements Accompany the executive on business trips when necessary Prepare schedules, itineraries, meeting information, and travel details Keep track of deadlines, deliverables, commitments, and important dates Assist with client and partnership management and maintain strong professional relationships Help coordinate marketing initiatives, campaigns, events, and business opportunities Conduct research and gather information when requested Handle confidential and sensitive business information with complete discretion Assist with personal scheduling and errands when necessary Anticipate the executive's needs and proactively solve problems before they become issues Maintain organized digital files, documents, contacts, and business information Assist with last-minute requests and changing priorities in a calm and efficient manner Support the executive in day-to-day business operations and special projects Ideal Candidate The ideal candidate is: Extremely organized and naturally structured Highly detail-oriented with strong follow-through Proactive and able to anticipate needs without constant direction Extremely reliable and dependable Comfortable working in a fast-paced, high-pressure environment An excellent written and verbal communicator Professional, polished, and confident when interacting with clients and business partners Highly adaptable and comfortable with changing priorities Resourceful and capable of finding solutions independently Discreet and trustworthy with confidential information Tech-savvy and comfortable managing calendars, email, documents, spreadsheets, and communication platforms Able to multitask without sacrificing attention to detail Comfortable taking initiative and making decisions within their scope Punctual and exceptionally good at managing time Someone who takes ownership and accountability rather than waiting to be asked Comfortable with non-traditional hours and occasional last-minute requests Willing and able to travel when required Positive, energetic, and able to maintain composure in a demanding environment What We're Looking For This position is best suited for someone who wants to be deeply involved in the day-to-day operations of a growing business and work closely with an executive in a dynamic industry. You should be someone who can look at a busy schedule, dozens of messages, multiple business relationships, and a last-minute change of plans and think, "I've got it." No two days will be exactly the same. The right candidate will enjoy the variety, move quickly, communicate effectively, stay organized under pressure, and consistently operate one step ahead. Requirements Previous experience as a personal assistant, executive assistant, office manager, coordinator, or similar role preferred Strong organizational and time-management skills Excellent written and verbal communication skills Ability to manage confidential information professionally Strong attention to detail Ability to manage multiple priorities and competing responsibilities Ability to work independently and prioritize tasks without constant supervision Flexibility to work outside of traditional business hours when needed Willingness and ability to travel as required Valid driver's license and reliable transportation preferred Experience in marketing, business development, social media, wellness, healthcare, bio-health, or the peptide industry is a plus Compensation & Travel $700-$1,000 per week , dependent on hours worked, availability, experience, and overall responsibilities Flexible, non-traditional schedule with availability outside of standard business hours when business needs require it Occasional domestic and international business travel may be required When travel is necessary, all approved travel-related expenses will be covered , including flights, transportation, accommodations, and room and board Travel may include business meetings, conferences, events, client engagements, partner meetings, and other professional commitments The ideal candidate should be comfortable with last-minute schedule changes, extended days, and occasional short-notice travel Compensation and responsibilities may increase as the level of responsibility, hours, travel, and involvement in the business increases The Right Fit This is not a traditional 9-to-5 assistant position.
