Job Description

Medical Staff Office Assistant - Full Time/Days •
TEMPORARY ROLE
Position Summary:
Under the direction of the Medical Staff Services Director, the Medical Staff Administrative Assistant will perform technical aspects of the Physician and Allied Health Professional credentialing process, including accurate data management in the credentialing system, processing of Physician and Allied Health Professional applications and reappointments, conducting primary source verifications, managing the mail flow and telephone work, and other related duties, as may be required. The Credentials/Medical Staff Administrative Assistant will also share in the responsibility for preparing agenda packets for various Department/Committee meetings, taking and transcribing minutes, and generating follow-up actions, as needed.
Education:
High school degree or equivalent, with a strong sense of work ethics
Experience:
1-2 years' experience in a Medical Staff Office or equivalent desired. Proficient in use of word processing and other software. Strong typing skills. Good verbal and written communication skills are essential, including knowledge of grammar, spelling and punctuation. Basic knowledge of medical terminology desired. Ability to maintain a high level of confidentiality. Excellent organizational and interpersonal skills. Detail oriented. Ability to multi-task and meet deadlines. Flexibility of work schedule is a must due to early morning or evening meetings. Basic physician credentialing experience is desirable. Basic knowledge of credentialing software is desirable.
Job Specific Duties:
Assists with credentialing activities including, but is not limited to, such functions as managing, gathering, researching, and updating physician and allied health professional credentials for new applicants and reappointments Assists with the maintenance of Medical Staff and Allied Health Professional credentials files Assists in organizing and staffing various Medical Staff Department/Committee meetings (i.e. preparation of agenda packets, takes and transcribes minutes, and generates follow-up actions, as needed). Sends reminder notices or calls members, as appropriate Performs a variety of highly responsible duties that involve skill, independent judgment, tact and a high regard for confidentiality, which must be maintained at all times Ensures that department duties are accomplished according to specified instructions and timeframes Maintains accurate record of proctoring status of Provisional Staff members Handles routine secretarial and clerical duties of the Medical Staff Services Department, as assigned Tact and diplomacy in interactions with the public, Medical Staff members and other hospital staff Ability to exercise professional judgment and discretion Ability to recognize and establish priorities Ability to assess situations, consider alternatives, and choose the appropriate course of action in the absence of the Medical Staff Director Is a team player Assists with the set up and preparation for the Medical Staff Continuing Medical Education programs Manages the mail flow, telephone work, and other related duties as may be required Organizes, prepares and distributes monthly calendar and ER Back-up Schedule Orders and stocks clerical supplies, forms, and other items required to run the Medical Staff Services Department Is familiar with DHS, CMS, State and TJC regulations/standards specific to the position. Complies with the CHS Compliance Program, as it relates to his/her job responsibilities. Other duties as needed and assigned.
