Job Description

OFFICE COORDINATOR
This is a part time position. As an office coordinator, you'll be responsible for the organization and coordination of office operations, procedures, and resources to facilitate organizational effectiveness and efficiency. Main Job Tasks and Responsibilities
  • Greet visitors
  • Answer three-line phone system
  • Go to post office daily to collect and drop off mail, sort through for each department
  • Maintain forms and brochures in lobby and at front desk window
  • Ensure filing systems are maintained and current
  • Design and implement filing systems
  • Monitor and maintain office supplies inventory
  • Order supplies and track purchases
  • Handle customer inquiries; redirecting unable to answer questions to appropriate department
  • Update and maintain Township website and social media sites
  • Review of township board minutes; create checklist of action items from minutes and follow through to completion
  • Prepare schedules to ensure efficiency (staff meetings; staff member schedules; events utilizing our facilities; Board of Review; etc.)
  • Provide assistance to different departments as needed
  • Point of contact for IT issues; phone issues; office equipment
  • Ensures operation of equipment by completing preventive maintenance requirements; calling for repairs; maintain equipment inventories. This would include, but not limited to, the telephone, copy machine, computer technology, and door lock security
  • Establish and monitor procedures for record keeping
  • Ensure security, integrity, and confidentiality of data
  • Maintain a safe and secure working environment
  • Maintain professional and technical knowledge by attending educational workshops, reviewing professional publications
  • Assistance with cemetery database
  • Become bonded for Notary services
  • Assist in daily housekeeping needs of facility
  • Assist with purchase orders and accounts payable related to Emergency Services
  • Organize orientation and training of new staff members on phones and office equipment Education and Experience
  • High School diploma with a number of years administrative and supervisory experience
  • Knowledge of accounting, as well as data and administrative management practices and procedures
  • Knowledge of clerical practices and procedures
  • Computer skills and knowledge of Microsoft Office Key Competencies
  • Strong communication skills
  • Strong website and social media marketing skills
