Job Description

Job Overview We are seeking a dynamic and highly organized Office Manager to lead the administrative operations of a busy cosmetic and reconstructive surgery practice. This role combines healthcare management expertise with exceptional office leadership, ensuring smooth daily functions, compliance with healthcare regulations, and outstanding patient service. The ideal candidate will thrive in a fast-paced environment, demonstrating strong supervisory skills and a comprehensive understanding of medical office workflows. Your energetic approach will help foster a positive team culture and elevate the patient experience from consultation to post-operative care. Responsibilities Oversee all administrative functions within the practice, including scheduling, patient intake, and medical records management using EMR (Electronic Medical Records) and EHR (Electronic Health Records) systems such as Epic, eClinicalWorks, and Athena/Centricity. Manage billing oversight and insurance authorizations for surgeries, as well as collecting for all cosmetic procedures. You will be responsible for scheduling surgeries at hospital and office operating room. Supervise clinical and administrative staff through training, performance evaluations, and staff development. Ensure compliance with healthcare regulations including JCAHO standards, HIPAA privacy rules, and managed care policies. Coordinate clinic operations to optimize workflow efficiency while maintaining high standards of patient care and safety in both cosmetic and reconstructive procedures. Monitor medical supplies inventory and procurement processes to ensure availability without excess stock. Facilitate communication between physicians, nursing staff, patients, insurance providers, and vendors to promote seamless practice operations. Requirements Proven experience managing a medical environment with familiarity in clinic workflows and healthcare management systems such as Epic or eClinicalWorks. Strong background in billing processes. Supervisory experience within a healthcare setting. Knowledge of medical terminology, medical records management, HIPAA compliance, and healthcare regulations such as JCAHO standards. Proficiency or ability to learn EMR/EHR systems like eClinicalWorks or Epic is highly desirable. Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment. Ability to foster a positive, team-based customer service environment.
Pay:
$50,000.00 - $55,000.00 per year
