$23-$30 per hour, depending on experience About Us We are a growing equipment wholesale business looking for a reliable, organized, and detail-oriented Operations Coordinator / Office Administrator to join our team. This person will help process customer orders, coordinate between the office and warehouse, assist with invoicing, book freight shipments, and support day-to-day office operations. This is a great position for someone who enjoys staying organized, communicating with different departments, and learning how a small business operates from order entry to shipment. Responsibilities Process customer orders accurately and efficiently Coordinate with warehouse staff to check inventory, prepare orders, and arrange shipments Create and send invoices using QuickBooks Book freight shipments and track deliveries Communicate with customers, vendors, freight companies, and internal team members Maintain organized records for orders, invoices, shipping documents, and customer information Assist with purchasing, scheduling, and general administrative tasks Follow up on pending orders, shipments, and customer requests Help improve office workflow and organization as needed Qualifications Prior office, administrative, order processing, logistics, or customer service experience preferred Experience with QuickBooks is a plus, but we are willing to train the right person Freight booking or warehouse coordination experience is a plus Strong attention to detail and accuracy Good communication and follow-up skills Comfortable using email, computers, spreadsheets, and business software Able to multitask and prioritize in a busy office environment Reliable, responsible, and willing to learn Bilingual English/Chinese is strongly prefered Ideal Candidate The ideal candidate is someone who is organized, dependable, and comfortable coordinating between office staff, warehouse staff, customers, and freight companies. You do not need to know everything on day one, but you should be willing to learn, ask questions, and take ownership of your work.
