Position Details Position Information Position Title Clerk/ACT 101 Grant Division Student Success(DIV) Department Act 101 Job Description This position is responsible to provide general clerical support in accordance with the guidelines as outlined within the ACT 101 grant. Essential Job Functions Provide general clerical assistance for ACT 101 personnel and the ACT 101 Mentoring and Advisory Board. This includes, but is not limited to, general recordkeeping, agenda preparation, meeting organization, taking minutes, and communication with stakeholders. Serve as the first point of contact for ACT 101 students, and develop, organize, and maintain the student file system, including progress reports, transcripts, and any other documents pertaining to the student files. Prepare routine documents, and assist in the creation of program materials, e.g., posters, and workshop materials. Communicate with ACT 101 students through multiple modalities, including the ACT 101 newsletter and social media. Other Job Functions Research and track conference opportunities for ACT 101 counselors and assist with arrangements for attendance and participation. Maintain supplies for both office and student items and cultural events. Maintain up-to-date with professional credentials, best practices, and current disciplines including continued educational requirements through certifications, seminars, training programs, etc. Maintain and develop work-related knowledge, skills, and competencies related to the job through professional and cross-training opportunities. Attend all required meetings and training. Perform additional grade-level support duties as assigned. Knowledge, Skills, and Abilities Knowledge of Microsoft Word and Excel required. Entry-level knowledge of professional office and telephone technology and procedures required. Proficient verbal and written communication skills. Read, comprehend and follow instructions/work orders. Ability to consistently provide excellent customer service. Ability to organize and prioritize work assignments, including managing multiple projects/tasks concurrently and meet varied deadlines. Identify problems and assist with problem solving. Required Qualifications High school diploma or equivalent. Prior work performance must have met or exceeded appropriate work standards. PA Child Abuse History Clearance, PA Criminal Record Check Clearance, and FBI Federal Criminal History Record Clearance are required. Preferred Qualifications 1-year work experience providing clerical support in a business office setting preferred.
