Full Job Description Home Care Administrator Compensation:
$70,000-$80,000 per year + substantial opportunity for growth based on performance
Schedule:
Monday-Friday, 9:00 AM-5:00 PM (with flexibility for urgent operational needs)
Location:
In-office with field responsibilities as needed Position Overview We are seeking an experienced, highly organized, and results-driven Home Care Administrator to take full ownership of the day-to-day operations of a growing home care agency. This leadership role is responsible for regulatory compliance, caregiver recruitment and onboarding, referral intake, Start of Care (SOC) coordination, authorizations, staffing, payroll, billing oversight, and regional growth. The ideal candidate thrives in a fast-paced environment, takes accountability for outcomes, and has deep knowledge of Medicaid, Managed Care Organizations (MCOs), and home care operational workflows. Key Responsibilities Manage all daily office and field operations for the assigned region Take ownership of census growth, compliance, staffing, and financial performance Respond promptly to incoming referrals and coordinate timely Starts of Care Verify eligibility and manage authorizations, prior authorizations, extensions, denials, and referral follow-up Communicate regularly with MCOs, service coordinators, and case managers Recruit, hire, and onboard caregivers and maintain compliant personnel files Ensure all authorized hours are staffed, fully utilized, and call-outs are resolved quickly Maintain compliance with state licensing, Medicaid, EVV, and payer requirements Prepare for audits and maintain audit-ready documentation Monitor authorized, utilized, and billed hours Coordinate with billing and payroll to ensure accurate claims and timely processing Provide weekly reports to leadership on utilization, referrals, Start of Care turnaround, payroll, billing, collections, and caregiver retention Identify operational bottlenecks and implement timely solutions Required Qualifications 3-5 years of home care or home health operational experience 2+ years in a supervisory or management role In-depth knowledge of Medicaid, MCOs, and payer authorization processes Strong understanding of regulatory and compliance requirements Hands-on experience with HHAeXchange Experience recruiting, hiring, and onboarding caregivers Knowledge of EVV, payroll, and billing workflows Proficiency with Microsoft Excel and operational reporting Excellent organizational, communication, and leadership skills Reliable transportation and willingness to travel locally as needed Key Traits for Success Strong ownership and accountability Excellent communication and follow-through Highly organized and detail-oriented Sense of urgency and proactive problem-solving Ability to work independently in a fast-paced environment Success in This Role Success in this role means taking full ownership of daily operations, ensuring referrals are converted into timely Starts of Care, all authorized hours are staffed and fully utilized, and communication remains strong with caregivers, case managers, payers, and leadership. The ideal candidate resolves issues quickly, maintains compliance, supports accurate billing, and drives consistent census and revenue growth. While this role carries significant responsibility and autonomy, the company provides full back-office support, including executive leadership, billing, payroll, compliance, and operational guidance to ensure your success.
