Utilize city social media platforms to advertise and promote city-wide events and departments. Vendor and donation management, relationships, and payments. Coordinate with the Recreation Lead for presentations, staff reports, and minutes for the Parks and Recreation Commission. Employees in this position receive general supervision within the framework of standard policies under the City Manager. They may direct or supervise others as seen fit by the City Manager and will partner with the Recreation Lead over educational, sports, and community events when needed.
DISTINGUISHING CHARACTERISTICS
This role will be responsible for drafting event concepts, obtaining required vendors, supplies and essentials, and end-to-end event management, including set-up and tear-down. They are responsible for vendor registrations, payments, and concerns, citizen donations, and growing contributions. To manage the safety and storage of props and equipment (whether city owned or rented/leased), and coordinating with supplying rent/lease vendors when needed. Managing event budgets and revenue. Assisting with the educational, youth, sports, and community events in regards to planning, executing, and marketing each event. This role will be responsible for the posting and creation of social media advertisements of all city department activities and local events. This is a partnering position to the Recreation Lead and will assist in the creation, performance, and success of the educational, sporting, and community events, including encroachment permits as needed. This role will work closely with the Parks and Recreation Commission and may be required to attend after hour meetings, make presentations, create staff reports as well as provide backup as needed for the Recreation Lead in creating agendas, preparing minutes, and/or running the meeting.
SUPERVISION RECEIVED AND EXERCISED
Directly supervised by the City Manager, will supervise staff as directed as seen fit by the City Manager.
ESSENTIAL FUNCTION STATEMENTS
-- Essential duties and responsibilities may include, but are not limited to, the following: Plans, organizes, coordinates and directs assigned recreational programs and activities which may include movie nights, music festivals, vendor fairs, dinners, fundraisers, and other special events. Works closely with the Parks and Recreation Commission and Recreation Lead to develop programs that benefit the community as determined by the City of Ione. Directs, coordinates, and monitors end-to-end event management, including set-up and teardown. Recruits, directs, and monitors the work of volunteer assistants.
Promotes department activities and events:
prepares brochures, flyers, and news releases, provides information to the public, media, and social media. Meets with community groups to promote activities and encourage involvement. Supervises use of recreation equipment and supplies; maintains inventory and quality. Prepares reports, correspondence, and budget estimates for assigned programs. Coordinate schedule and paperwork with city staff.
QUALIFICATIONS
Education:
High school diploma required; a bachelor's degree in recreation administration, marketing, communications, or a related field is strongly preferred.
Experience:
Generally, requires 1 to 3 years of experience in event planning, recreation programming, or public marketing.
Knowledge of:
Principles and techniques of organizing and directing a variety of recreational events. Principles of work organization. Principles and practices of fiscal, statistical and administrative research and report preparation. Principles and practices used to maintain files and information retrieval systems. Principles of business letter writing using established templates, flyer creation and social media platform posts. Modern office procedures, methods, and equipment including computers and applicable software applications such as word processing, spreadsheets, and databases at an intermediate level of proficiency. English usage, spelling, grammar, and punctuation. Mathematical principles. Business accounting principles and terminology. Communication skills and techniques required for gathering, evaluating and transmitting information. Operations and organizational structure of municipal government. Principles and practices of research and report preparation. Principles and practices of filing and record keeping. Methods and techniques of public relations and customer service. Safe and efficient work practices as they relate to code enforcement. City and mandated safety rules, regulations, and protocols.
Ability to:
Communicate clearly and concisely, both orally and in writing. Manage effectively a multi-vendor event end-to-end Work effectively with other city departments, as well as outside groups. Understand and carry out oral and written instructions. Prepare clear, concise and complete documents, reports, and correspondence. Provide creative leadership in organizing and directing recreational activities. Properly schedule programs and activities. Effectively promote activities and events by utilizing press, media, and social media. Create and perform presentations at Parks and Recreation Meetings.
LICENSES AND CERTIFICATES
A valid and appropriate California Driver's license, including a safe driving record

Physical Demands :
While performing the duties of this job, the employee is regularly required to stand, sit, walk, talk or hear, both in person and by telephone; use hands to finger, handle, feel, or operate standard office or event equipment; and reach with hands and arms. The employee frequently walks and stands, and occasionally lifts over 50lbs.

Environmental Elements:
The employee works in both field and office settings where the noise levels are quiet to moderately loud, although normally under 85 decibels. There will be alternate temperatures throughout the seasons, including rain, wind, and high heat.
