Job Description
Job Description The Senior Coordinator provides executive-level administrative support to the EVP of Marketing. This role is responsible for calendar management, correspondence, meeting preparation, and daily operational support, ensuring the EVP's time and priorities are managed effectively. The role also provides light coordination support to the broader marketing and creative organization, including scheduling and deadline tracking, to maintain the EVP's visibility into team activity. Key Responsibilities Handle a heavy-volume calendar across multiple time zones, screen and prioritize phone calls, and arrange executive travel. Arrange departmental meetings and events, executive conference calls, book conference rooms, set up all Audio Visual requests, prepare internal and external correspondence. Prepare the EVP for meetings by compiling relevant materials, background, and agendas in advance Coordinate travel arrangements, expense reporting, and logistics related to events, marketing shoots and offsites Act as a primary liaison between the EVP's office, internal departments (marketing, publicity, production), and external partners or talent demonstrating professionalism and strong communication skills Assist with scheduling for team-wide meetings, leadership reviews, and cross-functional syncs Track key deadlines across the organization to support the EVP's visibility into team priorities Provide occasional support on document and presentation preparation as needed Track action items arising from meetings and ensure timely follow-up with appropriate owners Maintain strict discretion in handling confidential and sensitive information Qualifications 4+ years of experience in an executive assistant, coordinator, or executive support role, ideally within media, entertainment, or another fast-paced environment Strong organizational skills with the ability to anticipate needs and manage competing priorities Excellent written and verbal communication skills Ability to operate effectively under ambiguity and manage a high volume of concurrent responsibilities Sound judgment and discretion in handling confidential information Composure and professionalism in a fast-paced, high-visibility environment Compensation $66,000 - $72,000 About
