Since 1953, we have been committed to improving the quality of care for patients with muscle and nerve disorders through education, research, and advocacy. Overview The Marketing Coordinator serves as the "Traffic Manager" and operational backbone of the Marketing department. This role is responsible for ensuring that all projects move efficiently from initial request to final completion. By managing the administrative and logistical heavy lifting—including project triage, social media scheduling, and database hygiene—this position allows the creative team to focus on high-level production while ensuring all internal departments receive timely marketing support. Core Responsibilities 1. Project Triage & Traffic Management (Asana)
Request Intake:
Monitor the marketing project inbox and Asana board; serve as the first point of contact for internal departments requesting marketing services.
Asset Verification:
Ensure all project requests are complete with necessary assets (copy, imagery, deadlines) before passing them to the creative team.
Timeline Oversight:
Maintain the master departmental project calendar, track deadlines and provide status updates to stakeholders to ensure no project stalls. 2.
HubSpot Operations & Social Media Scheduling Social Execution:
Manage the administrative scheduling of all social media posts across AANEM and ANF channels, utilizing the assets and strategy provided by the Multimedia Specialist.
Database Hygiene:
Perform regular maintenance within the HubSpot CRM, including merging duplicate records, updating member preferences, and ensuring data integrity.
List Segmentation:
Pull and segment targeted mailing lists for various campaigns, ensuring that the Communications Specialist has the correct audience for every email blast. 3.
Mass Email & Campaign Logistics Deployment Support:
Handle the technical logistics of email deployment, including setting up templates, performing "litmus" testing for mobile responsiveness, and scheduling final sends as directed by the Communications Specialist.
Scorecard Reporting:
Assist in updating the marketing scorecard by pulling monthly metrics on email open rates, click-through rates, and membership growth trends. 4.
Departmental Administrative Support Vendor Relations:
Coordinate with external vendors (printers, mail houses, etc.), managing the logistics of physical mailings and processing departmental invoices.
Committee Support:
Provide administrative assistance for marketing-related committees, including scheduling meetings, preparing agendas, and sending minutes and agendas to committees for approval.
Budget Tracking:
Assist the Director in monitoring the departmental budget by tracking expenses and maintaining organized financial records. 5.
Event & Annual Meeting Logistics On-Site Support:
Provide boots-on-the-ground logistical support for marketing activities during the Annual Meeting and other organizational events.
Collateral Management:
Coordinate the shipping and organization of marketing materials, signage, and promotional items for all events.
Education and Experience:
Bachelor's degree in, Marketing, Business Administration, or a related field; or 2-4 years of equivalent professional experience in a coordinator or administrative role.
Required Skills/Abilities:
Software Proficiency:
Project Management:
Advanced proficiency in Asana (or similar tools like Monday.com or Trello) is highly preferred.
CRM/Automation:
Experience with HubSpot (specifically list management and social scheduling) is a significant plus.
General Office:
Mastery of Microsoft Office Suite (Excel, Word, Outlook).
Organizational Skills:
Exceptional attention to detail and the ability to manage multiple moving parts without losing focus on deadlines. Key Competencies o The "Traffic Mindset": A natural inclination toward organization, process improvement, and efficiency. o
Customer Service Orientation:
A positive and helpful demeanor when interacting with other internal departments. o
Adaptability:
The ability to pivot quickly when high-priority, last-minute requests enter the triage queue.
Working Conditions:
For those working in the Rochester Office, nearly all work is performed in a comfortable indoor facility. The position frequently involves having to meet deadlines, shifting quickly from on task to another; changes in the nature or volume of work; coordinating activities with other employees; and handling the stress of competing priorities.
Physical Requirements:
The employee is regularly required to sit, reach, talk, hear, and occasionally be able to lift boxes, merchandise, etc. up to 15 pounds. Prolonged periods of sitting at a desk and working on a computer.
Vision Requirements:
Ability to see information in print and electronically; ability to identify and distinguish colors to proof work on web site and print material; close vision for working in front of computer screens and working on print material.
Travel Required:
All AANEM staff are required to work at the annual meeting. This event is held in the fall of each year, at a different location. All staff fly to and from the meeting(s) depending on the location. Additional travel may be required based on job responsibilities.
Annual Meeting Duties:
At the annual meeting, must be able to work long hours, move quickly between locations, handle stressful situations, stand, walk, stoop/kneel/crouch/crawl, handle objects with hands, and lift or push objects between 25-50 pounds. Please submit a cover letter with your resume.
