Position Summary The Inside Sales Project Manager is responsible for managing customer projects from initial quotation through order entry, procurement, production, delivery, and final completion. This position serves as the primary internal point of contact between customers, sales, purchasing, production, logistics, and accounting. The role requires a strong understanding of manufactured glass and mirror products as well as imported finished goods and components. The Inside Sales Project Manager must be able to manage multiple projects simultaneously, maintain accurate project information, communicate realistic lead times, identify potential problems before they affect the customer, and ensure orders are completed accurately and profitably. This position is ideal for an organized, detail-oriented individual who combines strong customer service and sales skills with project management and operational awareness. Key ResponsibilitiesInside Sales & Customer Management Serve as the primary internal contact for assigned customers and projects. Respond to customer inquiries, quote requests, product questions, pricing requests, and order status inquiries. Prepare quotations for glass, mirrors, fabricated products, hardware, accessories, and imported products. Review customer specifications, drawings, purchase orders, and project requirements for accuracy and completeness. Follow up on open quotations and actively pursue opportunities to convert quotes into orders. Develop and maintain strong relationships with contractors, installers, distributors, builders, purchasing departments, and other commercial customers. Identify opportunities for additional products, upgraded products, or related items that meet the customer's project requirements. Maintain accurate customer pricing, project notes, specifications, correspondence, and order history. Project Management Manage projects from quote and purchase order through final shipment or delivery. Review incoming orders to ensure dimensions, quantities, glass type, thickness, fabrication, hardware, finishes, packaging, shipping requirements, and other specifications are correct. Create and maintain project timelines based on manufacturing requirements, imported product availability, and customer-required delivery dates. Coordinate internally with production, purchasing, inventory, shipping, quality, and accounting. Monitor open orders and proactively address issues that may affect production or delivery. Communicate schedule changes, shortages, delays, substitutions, or other project concerns to customers in a timely manner. Maintain detailed project documentation and ensure changes are properly communicated to all affected departments. Coordinate revisions and change orders and ensure pricing and delivery dates are adjusted when appropriate. Track project milestones and follow orders through completion rather than relying on customers to request updates. Imported Product & Purchasing Coordination Coordinate with purchasing personnel regarding imported products, hardware, accessories, finished goods, and components required for customer projects. Verify inventory availability and incoming purchase order quantities before committing delivery dates to customers. Monitor imported product lead times and expected arrival dates. Track purchase orders, container schedules, estimated departure dates, estimated arrival dates, customs clearance, and expected warehouse availability when applicable. Communicate potential import or supply-chain delays that could affect customer projects. Assist purchasing with demand information and anticipated project requirements. Identify situations where available inventory may not be sufficient to support upcoming projects. Coordinate customer expectations when imported and domestically manufactured products are being supplied on the same project. Understand the impact of freight, tariffs, duties, surcharges, and other landed-cost considerations when preparing or reviewing pricing, as applicable. Order Entry & Documentation Enter orders accurately into the company's ERP/order management system. Verify customer purchase orders against company quotations before releasing orders. Confirm pricing, quantities, specifications, ship-to locations, freight terms, payment terms, and requested delivery dates. Maintain accurate notes regarding customer approvals, changes, special instructions, and delivery requirements. Obtain required approvals before releasing customized or non-cancelable products. Ensure supporting documents, drawings, specifications, and customer correspondence are maintained with the project record. Production & Inventory Coordination Work closely with production planning to determine manufacturing schedules and realistic completion dates. Review inventory availability for raw materials, imported goods, hardware, packaging materials, and other project components. Coordinate partial shipments when necessary and approved by the customer. Monitor backorders and material shortages. Assist with prioritizing customer requirements based on committed delivery dates and project needs. Participate in production or order-status meetings as required. Shipping & Logistics Coordination Coordinate with shipping personnel regarding customer delivery requirements. Confirm whether orders will ship via company truck, LTL, FTL, parcel carrier, customer pickup, or other approved method. Communicate special jobsite delivery requirements to the shipping department. Coordinate appointments, delivery windows, and special shipping instructions when necessary. Assist in resolving freight damage, shortages, incorrect shipments, or delivery discrepancies. Provide customers with tracking and shipment information as available. Pricing & Profitability Prepare quotations using established company pricing guidelines. Verify current material costs and imported-product costs when required. Recognize situations where freight, special packaging, fabrication, tariffs, duties, or other costs should be included in pricing. Obtain management approval for pricing outside established guidelines. Maintain awareness of project margins and identify potential cost overruns or scope changes. Ensure change orders and customer-requested modifications are properly priced before work proceeds. Customer Issue Resolution Take ownership of customer concerns involving order status, shortages, incorrect products, quality concerns, freight damage, or project changes. Coordinate internally to determine the cause of an issue and identify an appropriate resolution. Maintain professional communication with the customer throughout the resolution process. Document claims, replacements, credits, remakes, and corrective actions according to company procedures. Escalate significant quality, financial, or customer-service issues to management when appropriate. Qualifications 3+ years of experience in inside sales, project management, account management, manufacturing, construction products, building materials, or a related environment preferred. Experience within the glass, mirror, architectural products, Division 8, Division 10, building-products, or construction industries strongly preferred. Experience working with imported products, overseas purchasing, or supply-chain coordination is preferred. Strong ability to read and interpret customer purchase orders, quotations, drawings, specifications, and project documentation. Excellent organizational and time-management skills. Ability to manage numerous active projects and priorities simultaneously. Strong written and verbal communication skills. Strong mathematical skills with the ability to work with dimensions, quantities, square footage, pricing, margins, and freight calculations. Proficiency with ERP/order-entry systems and Microsoft Office, particularly Outlook and Excel. Ability to communicate professionally with customers, vendors, production employees, management, and outside sales representatives. Strong problem-solving skills and ability to identify potential issues before they affect the customer. The employee will regularly communicate with production, warehouse, shipping, purchasing, accounting, sales, vendors, and customers and may periodically enter manufacturing and warehouse areas to review products, orders, inventory, or project requirements. Position Objective The objective of the Inside Sales Project Manager is to ensure that every assigned project moves accurately and efficiently from quote → order → procurement/manufacturing → shipment → completion , while providing customers with a single knowledgeable point of contact and protecting the company's service standards, schedules, and profitability.
