Experience managing your personal household utility bills does not qualify as utility industry experience. About Our Energy Manager Our Energy Manager (OEM) is an energy consulting company serving commercial and industrial clients. We help our clients manage electricity and natural gas procurement, utility bills, energy budgets, utility rates and other energy-related needs. We are a small, growing company, and our employees work closely together. We offer a primarily remote and flexible working environment while maintaining a strong focus on client service, accuracy, accountability and teamwork. The Position The Utility Bill Management Specialist will work directly within our Utility Bill Management (UBM) department and serve as a key point of contact between our clients, utilities and the OEM team. This is not simply a data-entry position. The person in this role will be expected to understand and participate in our entire utility bill management process while also researching problems, resolving utility issues and communicating directly with clients.
Our basic invoice workflow includes:
Working from our invoice tracking system to identify expected utility invoices Logging into utility and energy supplier websites Retrieving and downloading utility invoices Reviewing invoices for accuracy and identifying discrepancies Hand-keying utility bill data into our UBM software system Uploading bill images into our UBM software system Saving and organizing bill images for client distribution Monitoring for missing or late invoices Researching unusual charges, usage or billing discrepancies Contacting utilities and suppliers when additional information or corrections are needed Following issues through resolution rather than simply identifying the problem Accuracy is extremely important. We are looking for someone who doesn't simply enter information from an invoice, but notices when something doesn't make sense and takes the initiative to investigate. Client Responsibilities This is a customer-facing position. The person in this role will: Communicate directly with clients regarding utility billing questions and issues Research client questions and provide clear, professional responses Communicate billing problems and resolutions Work directly with utilities and suppliers on behalf of clients Build strong, professional relationships with our clients Help clients understand utility bill information and our utility bill management system Follow open issues through completion and keep clients informed when appropriate Represent Our Energy Manager professionally in written, telephone and virtual communications Strong written communication is particularly important. You must be able to explain a complicated billing issue to a client in a clear, concise and professional manner. Day-to-Day Responsibilities In addition to client communication, this position will help ensure the day-to-day UBM workflow continues to run smoothly.
Responsibilities may include:
Processing and reviewing utility invoices Monitoring invoice tracking for missing or incomplete bills Researching and resolving utility billing issues Following up with utilities, suppliers and clients Helping identify recurring problems or process gaps Maintaining accurate documentation and records Communicating with other members of the UBM team to make sure open items are completed Identifying opportunities to improve procedures, documentation and workflow Identifying opportunities for automation and greater efficiency This is a hands-on position. The person hired will be actively involved in utility bill processing, research, problem-solving and client communication. The position is primarily remote; however, this is not a work-whenever-you-want position. Because this role works directly with clients, utilities and other OEM team members, the employee must have regular availability and responsiveness during normal business hours. Kansas City-area candidates are preferred. There may occasionally be local responsibilities, including retrieving utility invoices or other correspondence from OEM's PO Box in North Kansas City, Missouri.
