Regional Avionics Repair LLC is seeking a detail-oriented and customer-facing Maintenance Support Advisor I to join our team in this essential maintenance support role within an FAA Part 145 repair station The Maintenance Support Advisor I serves as an important link between our Customers, Maintenance Support, and Production. This position is responsible for coordinating customer communications throughout the repair process, preparing work-order estimates, researching technical and pricing information, tracking repair status, processing invoices and related documentation, and ensuring that information is communicated accurately and promptly to the appropriate departments. The successful candidate will be comfortable working in a technical aviation environment, communicating professionally with internal and external customers, managing multiple priorities, and working with detailed records and documentation. Accuracy, critical thinking, organization, responsiveness, a sense of urgency, with a meticulous attention to detail are all essential to success in this position. Key Responsibilities Customer Service & Communication Serve as a professional and responsive point of contact for customers throughout the maintenance and repair process. Answer incoming telephone calls, provide information, take messages, and direct calls to the appropriate personnel. Communicate professionally and courteously with customers regarding repair status, estimates, maintenance options, turnaround times, warranties, and other applicable information. Develop and maintain effective working relationships with customers, Production personnel, Shop Supervisors, and other company departments. Follow up routinely with customers regarding open work orders and required customer determinations. Communicate customer approvals, authorizations, changes, and other pertinent information accurately and promptly to Production personnel. Work Order & Estimate Administration Accurately prepare and maintain Work Order Parts & Labor Worksheets (PLWs) within the company's maintenance database. Prepare Work Order Estimates (WOEs) in QuickBooks and submit estimates to customers for review and authorization. Monitor customer determinations and update work-order status promptly. Track work-order progress and provide customers with appropriate status updates. Research maintenance options, including applicable tests, repairs, overhauls, parts, labor, pricing, lead times, turnaround times, and warranties. Prepare and issue applicable teardown reports, scrap reports, invoices, and packing slips. Process and maintain customer documentation and completed work-order records in accordance with company procedures. Technical & Pricing Research Develop working knowledge of the Repair Station's capabilities, limitations, services, equipment, and approved maintenance activities. Develop familiarity with aircraft components, LRUs, part numbers, and the aircraft applications associated with those components. Routinely research applicable technical publications and reference materials, including CMMs, Repair Specifications, Repair Processes, Service Bulletins, spreadsheets, and other approved information sources. Research and update company pricing information and spreadsheets as directed. Maintain accurate customer contact and account information in applicable company systems. Records & Documentation Maintain accurate paper and electronic customer files. File customer records and scrap reports in accordance with established company procedures. Deconstruct and properly file completed work packets and customer documentation. Ensure work-order and customer information is accurate, complete, current, and readily accessible. Support timely processing of bench-test invoices and other billing activities. Maintain confidentiality and appropriately safeguard customer and company information. Departmental Support Provide backup support to Production as assigned, including basic safety-sensitive activities such as organizing, sorting, cleaning, drying, and other related tasks. Provide backup support to Shipping & Receiving, including appropriate packing activities and completion of international air waybill documentation. Provide backup support to Inside Sales by responding to customer Requests for Quote (RFQs) by telephone and email. Participate in assigned training and maintain required knowledge and qualifications. Comply with all company policies, procedures, safety requirements, and applicable Repair Station requirements. Perform other duties as assigned, including duties that may be safety-sensitive. Qualifications Required Qualifications High school diploma or equivalent. Strong customer service and communication skills. Strong attention to detail and organizational skills. Ability to communicate professionally with customers, coworkers, supervisors, and management. Ability to manage multiple work orders and priorities in a fast-paced environment. Solid intermediate computer skills and proficiency. Ability to learn and effectively use company-specific computer systems and databases. Ability to read, understand, and follow written procedures and instructions. Ability to research information from multiple sources and accurately communicate findings. Ability to work independently while also functioning effectively as part of a team. Must be willing and able to participate in all required training. Preferred Qualifications Previous experience in aviation, aircraft maintenance, aircraft parts, MRO, or an FAA-regulated environment. Experience with aircraft components, LRUs, part numbers, or aviation maintenance terminology. Experience with maintenance tracking, work-order, estimating, or inventory systems. Experience with QuickBooks, DocuSign, FileMaker Pro, Microsoft Office Suite (especially Excel) or similar business/maintenance database systems. Experience working with technical publications such as CMMs, Repair Specifications, Repair Processes, or Service Bulletins.
