Job Description

Position Summary Seehafer Dairy Technologies is seeking an organized, dependable, and customer-focused Office & Parts Coordinator to support the daily operations of our Sparta location. This individual will be the administrative and operational hub of the branch, ensuring customers are taken care of, inventory is managed accurately, purchasing runs efficiently, and warranty claims are processed in a timely manner. This position is ideal for someone who enjoys variety, takes initiative, and is comfortable balancing office responsibilities with warehouse and customer service duties. The successful candidate will work closely with our service technicians, sales team, vendors, and customers to help ensure our Sparta operation runs smoothly every day. Primary Responsibilities Purchasing Create and submit purchase orders to vendors. Monitor inventory levels and replenish stock as needed. Track vendor deliveries and follow up on backorders. Verify packing slips and vendor invoices for accuracy. Build and maintain positive relationships with suppliers. Inventory Management Receive, inspect, and accurately process incoming shipments. Organize and stock inventory in the warehouse. Maintain clean, orderly storage areas. Perform cycle counts and assist with physical inventory. Maintain accurate inventory records within the company's business software. Warranty Administration Process manufacturer warranty claims from start to finish. Review technician documentation for warranty eligibility. Submit claims accurately and within required timelines. Track outstanding claims and follow up with manufacturers. Return warranty parts as required. Reconcile warranty credits with accounting. Maintain organized warranty records and identify recurring product issues. Customer Service Professionally answer incoming phone calls and direct inquiries. Welcome and assist walk-in customers. Process over-the-counter parts sales and customer invoices. Coordinate customer requests with the sales and service teams. Deliver an exceptional customer experience with every interaction. Office Administration Support the day-to-day operations of the Sparta office. Coordinate communication between customers, technicians, vendors, and management. Complete data entry, filing, and other administrative tasks. Maintain accurate customer and vendor records. Assist with special projects and additional duties as assigned. Qualifications Strong organizational and multitasking abilities. Excellent verbal and written communication skills. Friendly, professional customer service attitude. Proficiency with Microsoft Office and general computer software. Ability to work independently and manage competing priorities. Previous experience in purchasing, inventory control, office administration, or customer service is preferred. Experience in agriculture, dairy equipment, HVAC, refrigeration, or industrial parts is a plus. Physical Requirements Ability to lift up to 50 pounds. Ability to work in both an office and warehouse environment. Frequent standing, walking, bending, and lifting. Forklift experience is a plus but not required. Why Join Seehafer Dairy Technologies? $23.00 - $28.00 per hour
