Job Description

Real Estate Operations Manager Location:
Westchester County, NY Salary:
$75,000-$100,000 annually, based on experience and qualifications Active New York State Real Estate License Required An established, high-producing real estate business in Westchester County is seeking an experienced Operations Manager to oversee daily operations, keep transactions on track, and deliver an exceptional client experience. Working closely with the lead agent, you'll take ownership of day-to-day execution, anticipate needs, strengthen systems, and keep business priorities moving forward. This role requires sound judgment, strong follow-through, and the ability to coordinate every detail from initial client contact through closing.

Key Responsibilities:
Business operations: Manage daily workflows and competing priorities, ensuring deadlines and commitments are met.
Transaction management:
Coordinate transactions from accepted offer through closing, keeping clients, agents, attorneys, inspectors, and other parties informed and aligned.
Listing management:
Lead listing preparation and launches, coordinating vendors, staging, photography, property readiness, and marketing deadlines.
Client relationships:
Serve as a trusted point of contact for buyers and sellers, providing proactive updates, answering questions, and escalating issues that require the lead agent's attention.
Field coordination:
Represent the business at properties, meet with clients and vendors, oversee property preparation, and support showings, inspections, and other appointments.
Systems and processes:
Maintain and improve systems for client onboarding, transaction tracking, database management, follow-up, and document organization.
Marketing coordination:
Coordinate listing campaigns and ongoing marketing initiatives, ensuring accuracy, consistency, and timely delivery.
Operational leadership:
Protect the lead agent's time, anticipate next steps, and resolve issues independently within established authority.
Qualifications:
Active New York State real estate license required. Experience in real estate operations, transaction management, or a comparable management role. Exceptional organizational skills, attention to detail, and consistent follow-through. Confidence making decisions, taking ownership, and holding others accountable for deadlines. Strong communication skills and a polished, professional presence with clients. Ability to stay composed and effective in a fast-paced environment with shifting priorities. Proficiency with CRM platforms, real estate technology, and business productivity tools. Valid driver's license and reliable transportation for local property visits.
