Estate Department Administrative Assistant Law Firm | Full-Time Our firm's Estate Department is seeking an organized, detail-oriented Administrative Assistant to support our attorneys and paralegals with the day-to-day operations of a busy estates practice. This is an excellent opportunity for a proactive professional who thrives in a client-facing role and takes pride in accuracy, detail and discretion. Key Responsibilities Prepare, format, and proofread estate planning documents, including wills, trusts, powers of attorney, and related correspondence Manage attorney calendars, schedule client meetings, and coordinate appointments across multiple parties Serve as a primary point of contact for clients via phone and email, providing updates and gathering necessary information Organize and maintain client files, both physical and electronic, ensuring compliance with firm recordkeeping standards Coordinate document execution, including notarization and witnessing requirements Provide general administrative support to attorneys and paralegals in the department Qualifications Prior administrative or legal support experience required; experience in an estate planning, trusts, or probate practice strongly preferred Excellent written and verbal communication skills Strong organizational skills and keen attention to detail Proficiency with Microsoft Office (Word, Outlook, Excel); familiarity with legal practice management software a plus Ability to handle sensitive and confidential client information with discretion and professionalism Comfortable interacting directly with clients Notary Public commission strongly preferred (or willingness to obtain one) What We Offer Competitive salary commensurate with experience Health, dental, and vision insurance Paid time off and holidays 401(k) with firm match Supportive, collegial team environment Opportunities for professional growth within the firm
