Position Summary The Sales Coordinator provides comprehensive administrative, operational, and client-service support to the Sales & Marketing team. The position serves as a central liaison between sales leadership, event management, clients, reservations, front office, banquet operations, and other hotel departments. - Provide day-to-day administrative and operational support to the Director of Sales, Senior Sales Manager, Event Manager, and broader Sales & Marketing team.
- Handle incoming sales calls and inquiries, assist with lead qualification, document opportunities, and route qualified business to the appropriate sales manager.
- Maintain accurate client, account, group, event, reservation, rate, and operational information across hotel systems.
- Prepare meeting materials, reports, correspondence, documentation, and other materials required for sales and operational meetings.
- Coordinate schedules, site tours, meetings, and time-sensitive requests across multiple departments and stakeholders.
- Maintain organized records and follow through on outstanding action items to ensure group and event details are completed accurately and on schedule. Group & Event Coordination
- Serve as a key administrative point of contact for group and event clients regarding reservations, payment requirements, invoices, special requests, and other logistical needs.
- Coordinate group rooming-list information, reservation tracking, payment arrangements, pre-authorization requirements, and related client documentation.
- Work closely with Sales and Event Management to ensure group and event details are communicated accurately to the appropriate hotel departments.
- Prepare and distribute information for Group Resume meetings, including group inventory, reservation activity, event specifics, and other operational details.
- Track group reservation numbers and pickup activity and provide regular reporting to sales leadership.
- Coordinate Hilton Honors Points rewards and benefits, and assist with related client questions. Client Relations & Service
- Maintain professional, timely, and solution-oriented communication with clients before, during, and after group stays and events.
- Respond to client inquiries involving invoices, payment methods, pre-authorizations, reservation details, lost-property inquiries, special requests, and other group-related needs.
- Support VIP and designated guest arrangements, including coordination and delivery of amenities and special requests.
- Participate in property and sales tours, ensuring guestrooms, meeting areas, banquet facilities, and other guest-facing spaces meet presentation and quality expectations.
- Use strong hotel operations knowledge to identify issues, coordinate resolutions, and protect the client and guest experience. Revenue, Rate & Inventory Support
- Support hotel profitability through accurate rate maintenance, reservation reporting, and thoughtful room-inventory management.
- Maintain nationally and locally negotiated hotel rate information, support Business Transient (BT) account management, and conduct regular audits through Hilton PEP, OnQ Solicitation Management and Hilton Reporting Hub (HRH).
- Communicate rate updates and relevant account information to front-office and other operational teams.
- Monitor group reservation activity and inventory utilization to help the sales team identify changes, risks, and opportunities.
- Assist with strategic room-upgrade decisions based on Hilton Honors tier, inventory availability, and property requirements.
- Maintain awareness of hotel revenue opportunities and operational constraints when coordinating group and transient business. Property, Market & Competitive Set Support
- Conduct quality inspections of guestrooms, banquet facilities, and meeting spaces during prospective-client site tours.
- Maintain current knowledge of hotel amenities, services, promotions, brand standards, and relevant hotel policies.
- Coordinate and participate in competitive-set property visits and site tours.
- Develop and exchange competitive intelligence with neighboring hotels regarding service quality, menus, pricing, and property offerings.
- Use market and property observations to support sales initiatives and client conversations. Systems, Reporting & Documentation
- Utilize Hilton PEP, Hilton OnQ / OnQ RNI, OnQ Solicitation Management, Salesforce FDC (Delphi/FDC Sales Management), Cvent, and other hotel systems to maintain accurate business information and support daily operations.
- Work with Hilton OnQ / OnQ RNI and OnQ Solicitation Management for reservation, inventory, negotiated-rate, and BT account functions.
- Use hotel sales and event platforms, including Cvent and Delphi/FDC Sales Management, as applicable to group and event workflows.
- Generate and maintain reports related to group reservations, inventory, event details, negotiated rates, and sales activity.
- Maintain accurate digital records and documentation while handling confidential client, reservation, and payment-related information.
- Remain current on Hilton brand updates, procedures, and required training. Marketing & Property Support
- Serve as Social Media Manager, creating and coordinating hotel social-media content and property-awareness initiatives.
- Create and manage the monthly digital announcement board slideshow displayed in the employee cafeteria featuring relevant employee updates.
- Serve as Community Outreach Champion and support CARE Committee initiatives through communications, event promotion, volunteer activities, and community-service programs.
- Serve as DoubleTree by Hilton 1st Up Champion supporting recognition, culture, engagement, and brand-awareness initiatives.
- Coordinate hotel signage for buffets, doorways, navigation, and guest-facing event communications, including accommodations for special dietary requirements.
- Provide cross-functional support throughout the hotel as operational needs arise, contributing to guest satisfaction and overall property performance. QualificationsEducation & Experience
- High school diploma or equivalent required; hospitality, business, marketing, or related education preferred.
- Hotel sales, reservations, front-office, event coordination, or related hospitality experience preferred.
- Demonstrated understanding of hotel operations and group-business coordination. Knowledge, Skills & Abilities
- Excellent verbal and written communication skills.
- Strong organization, time management, and attention to detail.
- Proficiency with Microsoft Office, Hilton PEP, OnQ systems, Salesforce FDC/Delphi, Cvent, and hotel sales platforms.
Pay:
$24.00 - $26.00 per hour Expected hours: 36.0 - 40.0 per week
