Full-Time Position Summary The Assistant Service Advisor and Business Development Coordinator is a multi-functional dealership position responsible for supporting three important areas of the operation: warranty administration, service customer support, and sales business development . This position requires a highly organized, customer-focused individual who can accurately manage warranty claims, assist the service drive during periods of high customer volume, and proactively communicate with sales prospects and existing customers to generate dealership traffic and appointments. The ideal candidate is comfortable working across departments, managing multiple priorities, communicating professionally by phone, text, and email, and following processes through to completion. Primary Responsibilities Warranty Administration Prepare, submit, and monitor manufacturer warranty claims in accordance with General Motors policies and procedures. Review repair orders for proper documentation, labor operations, technician comments, time punches, parts, and required authorization before claim submission. Ensure warranty claims are submitted accurately and within required timeframes. Monitor claim status and promptly correct rejected, returned, or incomplete claims. Maintain required warranty documentation and records for manufacturer compliance and audit purposes. Work with service advisors, technicians, parts personnel, and management to resolve warranty documentation issues. Track outstanding warranty receivables and follow claims through payment. Assist with warranty audits and maintain dealership processes designed to minimize chargebacks. Stay current on manufacturer warranty policies, bulletins, recalls, special coverage programs, and procedural changes. Assistant Service Advisor Support service advisors during high-volume periods and provide coverage when needed. Greet service customers and assist with the vehicle check-in process. Help prepare and open repair orders and verify customer and vehicle information. Communicate basic repair status and service information to customers when appropriate. Assist with incoming service phone calls and appointment scheduling. Help coordinate customer transportation, vehicle pickup, and delivery as needed. Assist service advisors with customer follow-up and outstanding repair-order documentation. Help ensure repair orders contain complete customer concerns and necessary documentation. Support the dealership's Multi-Point Vehicle Inspection process and communication of inspection results. Assist in maintaining an organized and efficient service drive. Provide a professional and consistent customer experience from arrival through vehicle delivery. Sales Business Development Respond promptly to internet leads, website inquiries, phone leads, and other sales opportunities. Contact prospective customers by phone, text, and email with the primary objective of establishing communication and scheduling dealership appointments. Follow dealership lead-management processes and required contact schedules. Maintain accurate customer records, notes, activities, and follow-up tasks in the dealership CRM. Follow up with customers who have previously inquired about a vehicle but have not purchased. Re-engage unsold showroom traffic and other sales opportunities. Conduct outbound campaigns to existing dealership customers, including equity, lease maturity, trade-in, and vehicle upgrade opportunities. Confirm scheduled appointments and maintain communication with customers prior to their dealership visit. Coordinate with sales consultants and sales management to ensure a smooth handoff when customers arrive. Track appointments set, appointments shown, sales generated, contact rates, and other BDC performance metrics. Assist with dealership marketing campaigns and customer outreach initiatives as assigned. Customer Service Expectations Communicate professionally and positively with every customer. Respond to customer inquiries in a timely manner. Take ownership of customer requests rather than simply transferring responsibility to another employee. Maintain confidentiality of customer and dealership information. Work cooperatively with the sales, service, parts, accounting, and management teams. Recognize that customer satisfaction and dealership reputation are responsibilities shared by every department. Qualifications Automotive dealership experience preferred. Warranty administration experience strongly preferred. General Motors warranty experience is a significant advantage. Experience with dealership management systems and CRM platforms preferred. Strong verbal and written communication skills. Excellent organizational skills and attention to detail. Ability to manage multiple responsibilities and shift priorities throughout the day. Comfortable communicating with customers by telephone, text, email, and in person. Strong computer and data-entry skills. Ability to learn and consistently follow manufacturer and dealership processes. Professional appearance and demeanor. Dependable attendance and punctuality. Key Performance Expectations Performance in this position will be evaluated across all three areas of responsibility, including: Warranty claim accuracy and timely submission Warranty rejection and chargeback rates Outstanding warranty receivables Completeness and accuracy of repair-order documentation Quality and timeliness of customer communication Service department support and responsiveness Sales lead response time Customer contact rate Appointments scheduled Appointment show rate Sales resulting from BDC appointments CRM documentation and follow-up completion Position Characteristics This is a cross-functional position requiring flexibility and sound judgment regarding daily priorities. Warranty administration requires accuracy and consistent follow-through, while service and BDC responsibilities require strong interpersonal skills and a willingness to proactively engage customers. The successful employee will be someone who can move comfortably between administrative work and customer-facing responsibilities while maintaining accuracy, urgency, and a high level of professionalism. Overall Objective The objective of this position is to improve dealership performance by ensuring warranty claims are processed correctly and collected promptly, providing additional customer-service capacity within the service department, and creating additional sales opportunities through consistent and professional customer follow-up.Pay:
