Job Overview We are seeking a proactive and detail-oriented Part-Time Career Services Admin Assistant to join our team. In this vital role, you will serve as the first point of contact for students and clients seeking career guidance and support. Your approach will ensure smooth office operations, efficient communication, and exceptional customer service. This position offers an opportunity to utilize your administrative and organizational skills in a fast-paced environment. The ideal candidate is highly organized, has computer literacy, and bilingual (preferred). Responsibilities Manage career service desk operations directing inquiries with professionalism and enthusiasm Answer multi-line phone systems promptly, providing accurate information or routing calls appropriately Maintain confidentiality when handling sensitive client and student information with discretion. Perform data entry tasks efficiently using Microsoft Office applications and specialized software such as Diamond D. Support office management duties including filing, document proofreading, and organizing client records to ensure an orderly workspace Assist with interview scheduling, calendar management, and follow-up communications to facilitate seamless client interactions Provide excellent customer service by addressing questions, offering support, and ensuring a positive experience for both students and employer clients. Experience Prior clerical or administrative experience in an office setting is highly desirable Demonstrated proficiency with Microsoft Office Suite (Word, Excel, Outlook) and computer literacy skills necessary for daily tasks Experience with multi-line phone systems, front desk operations, and handling confidential information effectively Bilingual abilities (English/Spanish or other languages) are a strong plus for serving diverse client populations Strong organizational skills with the ability to manage multiple priorities efficiently in a fast-paced environment Personal assistant or office management experience will be considered an asset for success in this role Join us in making a difference by supporting individuals on their career journeys!
