This position is responsible for responding promptly to new inquiries, evaluating potential personal injury claims, and guiding prospective clients through the decision to retain the firm. The Intake Specialist builds trust through empathy, professionalism, and confident communication while gathering accurate case information and assessing case viability. This role requires the ability to connect with individuals who may be experiencing stress or trauma, clearly explain the firm's process, and effectively convert qualified leads into signed clients. Success in this position requires strong communication and active listening skills, attention to detail, emotional intelligence, sales aptitude, and the ability to manage confidential information with discretion. The ideal candidate is organized, compassionate, persuasive, and motivated by helping others while contributing directly to the firm's growth. Key Responsibilities 1. Initial Client Contact & Responsiveness Answer incoming calls, web inquiries, and referrals promptly. Respond to all new leads within firm response-time standards. Conduct structured intake calls with professionalism and empathy. Build rapport and establish trust during the first interaction. 2. Case Evaluation & Information Gathering Collect detailed information regarding the incident, injuries, treatment, insurance, and damages. Assess potential case viability using firm criteria. Identify red flags and escalate complex matters to an attorney when appropriate. Ensure all required data fields are accurately entered into the case management system. 3. Client Conversion & Retention Clearly explain the firm's services, fee structure, and next steps. Confidently guide qualified prospects toward retaining the firm. Address objections and concerns with professionalism and empathy. Send and follow up on retainer agreements to secure signed clients. Track and report conversion metrics. 4. Client Experience & Onboarding Ensure a smooth and welcoming onboarding process for new clients. Confirm receipt of signed documents and required information. Set expectations regarding communication and case timelines, when applicable. Coordinate handoff to the legal team. 5. Administrative & Compliance Support Maintain accurate, organized, and confidential records. Document all communications thoroughly and input information in the case management system. Ensure compliance with firm policies and applicable legal standards. Assist with reporting, lead tracking, and intake analytics as needed. 6. Continuous Improvement & Team Collaboration Provide feedback on lead quality, scripts, and intake processes. Participate in training and performance reviews. Collaborate with attorneys and staff to improve conversion rates and client satisfaction. Support marketing initiatives by tracking source performance and trends.
Qualifications:
  • High school diploma or equivalent required
  • Experience in client services, sales, or a high-volume customer -facing role
  • Prior experience in a Legal Intake role is a plus
  • Bilingual is a plus
  • Familiarity with e-signature platforms
Skills:
  • Strong organizational skills with high attention to detail
  • Strong, and professional verbal and written communication skills
  • Ability to build rapport quickly and handle sensitive conversations with empathy and professionalism
  • Ability to manage confidential and sensitive information with discretion
  • Comfortable working in a fast-paced, performance-driven environment
  • Ability to learn and become proficient with case management software
  • Strong follow-up skills and ability to manage multiple open leads simultaneously
Salary and Benefits:
  • Base salary $50,000-$55,000 based on experience and qualifications
