Housing & Finance Coordinator Community Housing Assistance Program, Inc. (CHAP) Full-Time | Non-Exempt | Salary $45,000-$50,000 per year Reports to: Chief Executive Officer About the Position Community Housing Assistance Program, Inc. (CHAP) is seeking a dependable, detail-oriented Housing & Finance Coordinator to join our team. This position plays an important role in supporting CHAP's financial operations, residential properties, tenants, administrative functions, and community communications. The ideal candidate is organized, trustworthy, comfortable working with financial information, and able to manage multiple responsibilities while maintaining a high level of professionalism and confidentiality. This is a diverse position that combines financial administration, rental and property coordination, office administration, and social media management . What You'll Do Housing & Property Coordination Prepare leases for new tenants and coordinate required signatures. Maintain accurate tenant, lease, and property records. Work with WCBDD Service Coordinators to monitor available/open residential beds. Prepare Open Bed Reports for CHAP Board meetings. Coordinate pest control, cleaning, and other routine services for CHAP homes. Communicate with WCBDD Maintenance staff, service coordinators, providers, the CEO, and other appropriate parties regarding tenant maintenance and property concerns. Follow up on maintenance requests to help ensure issues are resolved in a timely manner. Financial & Rental Responsibilities Receive and record rental payments and other income. Monitor tenant payments and follow up on late, missed, or inaccurate payments. Process invoices, bills, mortgages, utilities, and other CHAP financial obligations. Verify invoices and assign expenses to the appropriate property and accounting category. Balance CHAP bank accounts and enter transactions into QuickBooks. Make deposits of rental income and other receipts. Maintain accurate and organized financial records. Prepare financial reports in collaboration with the CEO. Provide financial information to the CHAP Board and assist with audit preparation and supporting documentation. Reconcile financial records and assist in identifying and resolving discrepancies. Social Media & Communications Manage CHAP's social media presence and help maintain a positive, professional public image. Develop and post approved content highlighting CHAP programs, services, activities, community involvement, and organizational updates. Maintain a basic social media content calendar and schedule posts. Gather photos, information, and updates from staff and community partners. Monitor social media comments and messages and respond to routine inquiries according to CHAP procedures. Coordinate public-facing communications with the CEO. Monitor general engagement and identify opportunities to increase community awareness. Administrative Support Perform general office and clerical duties, including correspondence, filing, copying, recordkeeping, and maintaining supplies. Answer telephone calls, provide routine information, and forward messages. Receive and assist tenants, visitors, officials, and members of the public. Prepare reports and routine correspondence. Maintain accurate and confidential records. Perform other related duties as assigned.
What We're Looking For Required:
High school diploma or equivalent. Strong organizational and recordkeeping skills. Excellent attention to detail. Ability to accurately handle financial information and identify discrepancies. Ability to communicate professionally with tenants, staff, vendors, board members, auditors, and community partners. Ability to maintain confidentiality and exercise sound judgment. Proficiency with Microsoft Office and general office technology. Ability to prioritize multiple responsibilities, meet deadlines, and work independently.
Preferred:
Associate or bachelor's degree. Experience with QuickBooks or similar accounting software. Experience with accounts payable, accounts receivable, bookkeeping, property management, or office administration. Familiarity with social media platforms and basic content creation.
