Job Description

Defiance College invites applications for the position of Director of Advancement Services . This key leadership position isresponsible for the strategic management and execution of advancement operations, providing the infrastructure and support necessary toadvance the College's fundraising, alumni engagement, donor stewardship, and campaign initiatives. Reporting to the Vice Presidentfor Institutional Advancement, the Director of Advancement Services will provide leadership and oversight for advancement operations,including gift processing, database management and integrity, reporting and analytics, donor relations support, and advancementtechnologies. The successful candidate will play a critical role in promoting data-driven decision-making, operational efficiency, andadherence to industry best practices.
Primary responsibilities include:
Leadership and strategic oversightfor advancement services in support of annual, major, planned, and campaign giving. Partner with advancement leadership to developand implement operational strategies aligned with institutional priorities. Oversee the College's advancement database and CRMsystem, ensuring data accuracy, consistency, integrity, and effective system utilization. Establish and maintain data standards,policies, procedures, internal controls, and audit processes. Oversee the processing, acknowledgment, and reconciliation of gifts,pledges, and payments. Develop and deliver reports and analytics to support fundraising performance, leadership reporting, prospectdevelopment, and strategic decision-making. Provide data insights related to donor retention, acquisition, pipeline development,portfolio management, and campaign activity. Support donor stewardship and recognition initiatives, including endowed funds,scholarships, restricted gifts, naming opportunities, and giving societies. Assist with donor impact reporting and stewardshipcommunications. Evaluate, implement, and manage advancement-related technologies and identify opportunities for automation andprocess improvement. Serve as a primary liaison with software vendors, IT partners, and other stakeholders. Provideoperational and data support for advancement events, including invitations, registrations, attendance tracking, andfollow-up. Supervise and support Advancement Services staff and foster a collaborative, service-oriented team culture. A bachelor's degree and experience in advancement services, database management, donor relations support, or a related field arerequired. The successful candidate will demonstrate experience with CRM systems such as Raiser's Edge, Salesforce, Jenzabar, Banner, orsimilar platforms, along with strong analytical, organizational, problem-solving, communication, and collaboration skills. Preferredqualifications include experience in higher education advancement, campaign management and reporting, familiarity with IRS regulationsrelated to charitable giving, and supervisory experience. The ideal candidate will possess a strong understanding of fundraisingoperations, gift processing, and data management best practices; demonstrate strategic and operational leadership; and be committed tocontinuous improvement. The ability to manage multiple priorities in a fast-paced environment and work occasional evenings and weekends insupport of advancement events is required.
