Job Description

Butler Automatic has an immediate opening for a Service Administrator. The Service Administrator is responsible for supporting the day-to-day operations of the service department by coordinating service activities, maintaining service records, assisting customers, and ensuring efficient communication between customers, technicians, and internal teams. This role focuses on administrative support, scheduling, reporting, and process coordination to help deliver exceptional customer service and operational effectiveness. Key Responsibilities Service Administration & Coordination Coordinate and schedule service calls, preventive maintenance visits, and technician assignments. Maintain service schedules and communicate updates to customers and field technicians. Create, process, and track service jobs, service tickets, and customer requests. Ensure service documentation is accurate, complete, and properly filed. Monitor open service jobs and follow up to ensure timely completion. Assist with dispatching technicians and coordinating service-related logistics. Assist with maintaining and updating standard operating procedures (SOPs). Identify opportunities to improve administrative processes and service workflows. Support implementation of service management software, ERP, and CRM system updates. Customer Support Serve as a primary point of contact for customer service inquiries and requests. Provide professional communication before, during, and after service visits. Escalate customer concerns to the appropriate personnel when necessary. Maintain strong customer relationships through timely and responsive support. Coordinate customer updates regarding service schedules, delays, and job completion. Safety & Compliance Maintain service records in accordance with company policies and regulatory requirements. Ensure required technician certifications, licenses, and training records are current and documented. Support compliance with customer site requirements and safety policies. Qualifications Required 2+ years of experience in customer service, service administration, dispatching, or administrative support. Strong organizational and time management skills. Excellent verbal and written communication skills. Proficiency in Microsoft Office Suite, including Excel, Word, and Outlook. Ability to manage multiple priorities in a fast-paced environment. Strong attention to detail and problem-solving skills. Preferred Experience in manufacturing, industrial equipment, service, or technical support environments. Experience with ERP, CRM, or service management software. Understanding of field service operations and scheduling processes. Associate or bachelor's degree in business administration or a related field, or equivalent experience.
Pay:
$50,000.00 - $65,000.00 per year
