Job Summary Transport Security, Inc. is seeking an organized, detail-oriented Order Management Specialist to join our team in Waconia, Minnesota. In this role, you will be the primary point of contact for incoming customer orders, working directly with fleet operators, manufacturers, and distributors across North America. You will manage orders from receipt through entry into our ERP system and release to manufacturing, while providing responsive, professional support to a long-standing customer base. This is a highly visible role with a direct impact on production and customer satisfaction, and it offers a meaningful opportunity to shape how we work as we continue to modernize our order management processes. Key Responsibilities Receive, review, and process customer orders arriving by email, phone, web store, and customer procurement portals. Enter orders accurately into NetSuite and release them to manufacturing on time. Prioritize a high daily volume of requests, balancing urgent orders against routine ones and communicating clearly about timelines. Research customer order history and account records to clarify incomplete or non-standard requests before entry. Process replacement key and keyed-alike orders, applying established verification procedures. Respond to inquiries regarding pricing, part numbers, order status, lead times, shipping, warranties, and returns. Coordinate with sales, shipping, operations, and accounting to resolve order issues and answer customer questions. Maintain accurate records of orders, customer communications, and follow-up actions. Identify potential sales opportunities from customer inquiries and refer them to the sales team. Contribute to ongoing process improvement initiatives to improve accuracy, speed, and consistency. Qualifications Required 2+ years of experience in order management, order entry, customer service, or inside sales support in a business-to-business environment. Hands-on experience with an ERP or order management system. Strong organizational skills and demonstrated ability to manage competing priorities without losing track of details. Excellent written and verbal communication skills, with a professional and confident customer manner. Proficiency with Microsoft Office, particularly Outlook and Excel, and comfort learning new software. Strong problem-solving skills and sound independent judgment. Preferred Experience in manufacturing, distribution, or a similar production environment. Experience with NetSuite. Familiarity with technical, configurable, or made-to-order products. Experience with customer procurement portals such as Coupa, Ariba, or SAP. Product knowledge is not required. We provide thorough training on our product lines and systems.
