Job Description

Job Summary We are seeking a dynamic and highly organized Administrative Assistant to join our team! This vital role offers the opportunity to support daily office operations, streamline administrative processes, and enhance overall office efficiency. The ideal candidate will be proactive, detail-oriented, and possess excellent communication skills. As an energetic team player, you will manage a variety of clerical tasks, coordinate schedules, and provide exceptional customer service to both internal staff and external clients. Responsibilities Manage front desk duties, including greeting visitors, answering multi-line phone systems, and directing calls with professional phone etiquette Handle data entry, filing, and document proofreading to ensure accuracy and organization across all files and records Utilize Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools for creating reports, presentations, and correspondence Oversee calendar management and scheduling for meetings, appointments, and events to optimize time management Support bookkeeping tasks using QuickBooks or similar accounting software for invoicing, expense tracking, and basic financial record keeping Handle Client Intake and maintain case tracking systems. Skills Proven experience in office administration or clerical roles with strong organizational skills Proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace applications Prior Adminstrative or legal office experience preferred (immigration law experience a plus). Familiarity with QuickBooks or similar bookkeeping software is a plus Excellent typing speed and data entry accuracy to handle documentation efficiently Strong communication skills with the ability to demonstrate professional phone etiquette in multi-line systems Knowledge of office management practices combined with exceptional time management skills to prioritize tasks effectively Join us in creating a vibrant work environment where your organizational talents can shine!
