ABOUT THE POSITION A
Plus Management, LLC is seeking a dependable and organized Administrative Support Coordinator to provide day-to-day administrative support to the Director of Finance and Administration and the Senior Director of Maintenance. A Plus Management is a small, growing management company serving mobilehome and RV park communities throughout California. This position is well suited for someone who is professional, responsive, comfortable learning new systems, and able to manage varied administrative responsibilities with accuracy and consistent follow-through. This is an in-person position and is not offered as a remote or hybrid opportunity.
PRIMARY RESPONSIBILITIES
Responsibilities include, but are not limited to: Provide general administrative support to the Director of Finance and Administration and the Senior Director of Maintenance. Schedule meetings and appointments and maintain calendars as assigned. Answer, screen, and route calls using a multi-line telephone system; take accurate messages and provide professional assistance to callers. Draft, proofread, format, scan, copy, and distribute routine correspondence, reports, forms, and other business documents. Maintain organized electronic and paper files, trackers, records, and supporting documentation. Monitor assigned deadlines and follow up on outstanding documents, information, and routine tasks. Communicate with employees, park managers, vendors, service providers, government agencies, and other authorized parties to request or provide routine information. Assist with vendor documents, work orders, purchase documentation, invoices, receipts, and other operational records. Assist with preparing deposits, filing documents, requesting records, completing routine forms, and performing administrative follow-up. Receive, organize, and distribute mail, correspondence, notices, invoices, and other documents. Maintain office supplies and assist with basic supply and inventory tracking. Operate standard office equipment, including computers, printers, scanners, copiers, postage equipment, and multi-line telephone systems. Run authorized business errands and travel between company-managed locations when required. Assist with assigned projects and other reasonable administrative duties based on operational needs. Protect confidential business, employee, resident, vendor, and financial information. Notify the appropriate supervisor when assignments, priorities, or deadlines conflict and additional direction is needed.
QUALIFICATIONS AND ATTRIBUTES
We are willing to train the right person. Extensive administrative experience is not required if the applicant demonstrates reliability, professionalism, basic computer aptitude, and a genuine willingness to learn.
The successful candidate should have:
A high school diploma or equivalent. Basic computer skills, including the ability to use email, enter information accurately, organize electronic files, and navigate common computer applications. Basic familiarity with Microsoft Word, Outlook, and Excel, or the ability to learn these programs through training. The ability and willingness to learn company systems, which may include Microsoft Teams, RingCentral, Rent Manager, QuickBooks, MileIQ, and other applications. Clear and professional verbal and written communication skills. Professional telephone, email, and workplace etiquette. The ability to answer, transfer, and document calls using a multi-line telephone system, with training provided as needed. The ability to follow written and verbal instructions, ask appropriate questions, and apply training to future assignments. Strong attention to detail and a commitment to maintaining accurate records. The ability to organize assignments, manage more than one task, and meet communicated deadlines. The ability to recognize when priorities conflict and promptly request direction. Dependable attendance, punctuality, and follow-through. The ability to maintain confidentiality and exercise appropriate discretion. A cooperative attitude and the ability to work respectfully with supervisors, coworkers, park managers, residents, vendors, and other business contacts. A vehicle available for authorized business errands and travel between company-managed properties. A valid California driver's license and automobile insurance meeting applicable legal and company requirements.
PREFERRED, BUT NOT REQUIRED
Prior experience in an office, administrative-support, customer-service, property-management, or similar position. Familiarity with standard office equipment, including printers, scanners, copiers, postage equipment, and multi-line telephone systems. Experience organizing records, maintaining trackers, processing paperwork, or following up on assigned tasks. Experience using Microsoft Office or other business software. A consistent employment history demonstrating reliability, regular attendance, and reasonable continuity in prior positions. Applicants should provide a complete employment history for the past seven years, including the dates of employment and reasons for leaving each position. Applicants selected for an interview may be asked to explain significant employment gaps or a pattern of short-term positions. All employment histories will be considered individually, including reasonable explanations for career changes, caregiving responsibilities, education, self-employment, protected leave, or other circumstances. Prior experience will be considered, but demonstrated reliability, trainability, sound judgment, and consistent follow-through are equally important.
SCHEDULE AND WORK LOCATION
This is a full-time, hourly, nonexempt position expected to average 40 hours per workweek. The primary work location is in Rosamond, California. Regular, in-person attendance is required. The employee may also be required to travel to other company-managed locations, appointments, or authorized business errands based on operational needs. Authorized business mileage and other reasonable and necessary business expenses will be reimbursed in accordance with California law and company policy. Ordinary commuting to the primary work location is not reimbursable unless otherwise required by law.
COMPENSATION AND BENEFITS
Hourly pay range of $25.00-$28.00, depending on directly related experience, demonstrated skills, and qualifications. Paid time off in accordance with company policy. Paid sick leave and other protected leave as required by applicable law and company policy. Paid company-observed holidays for eligible full-time employees: New Year's Day Martin Luther King Jr. Day Presidents' Day Memorial Day Juneteenth Independence Day Labor Day Columbus Day Veterans Day Thanksgiving Day Christmas Day Reimbursement of authorized business mileage and other reasonable and necessary business expenses in accordance with company policy.
PHYSICAL AND WORK REQUIREMENTS
The employee must be able to perform routine office duties, use a computer and telephone for extended periods, communicate effectively in person and electronically, and organize and handle office documents and materials. The position requires the ability to travel to company-managed properties, appointments, and other authorized business locations.
