Job Description
Job Summary We are seeking a detail-oriented Billing Coordinator/Admin for a direct hire opportunity with a professional accounting services office in AZ. This role is ideal for an administrative professional who enjoys client interaction, organized office operations, billing support, and working closely with leadership in a small, team-focused environment. The Billing Coordinator/Admin will serve as a key point of contact for clients, helping keep the office running smoothly while supporting client files, scheduling, billing activity, CRM updates, email correspondence, and day-to-day administrative needs. Key Responsibilities
- Answer phones, schedule appointments, and provide a professional first impression for clients.
- Maintain client files, update CRM records, track project status, and assist with workflow organization and prioritization.
- Support billing-related tasks AP/AR, payment communications, setting up tax files and assist with processing tax returns, client onboarding emails, scanning, copying, and general administrative documentation.
- Respond to client inquiries by phone, email, website, and resolving questions when possible and taking detailed messages when follow-up is needed.
- Assist with professional email correspondence, client follow-up, referral partner communication, and putting together client proposals. Compensation and Benefits
- Pay range: $17.00 to $20.00 per hour.

- Answer phones, schedule appointments, and provide professional office support.
- Maintain client files, CRM records, billing support tasks, and project status updates.
- Accounts Payable, Accounts Receivable
- Preparing tax returns
- Manage professional email correspondence, client inquiries, appointment confirmations, and administrative follow-up.
- Support daily office operations, document handling, marketing communications, and workflow coordination.
- 2 to 3 years of administrative experience dealing directly with clients and the public, or customer service experience combined with related administrative and accounting experience.
- Strong Microsoft Word, Excel, Outlook, typing, and 10-key skills.
- Experience with CRM software or the ability to quickly learn systems such as Ignition or similar platforms.
- Strong attention to detail, time management, organization, note-taking, and ability to shift priorities throughout the day.
- Excellent verbal and written communication skills, including grammar, punctuation, professional email writing, and document review.
- Professional phone presence with confidence making and answering calls, assisting existing clients, and speaking with potential new clients.
- High level of discretion and professionalism when handling sensitive client data.
- Reliable attendance, strong work ethic, and ability to work effectively in a fully in-office role.
- Ability to multitask with composure in an environment with frequent interruptions.
- Associates Degree or Bachelor's Degree strongly preferred. Preferred Qualifications
- QuickBooks experience.
- Canopy experience.
- Prior experience in a professional services, accounting, tax, bookkeeping, financial, or client-service office environment.
