Full Job Description Objective:
The Executive Assistant at Time of Grace serves as executive support for the Chief Executive Officer (CEO), ensuring the CEO's priorities, communications, schedule, and organizational commitments are completed with excellence, discretion, and professionalism. This position acts as an administrative coordinator for the office of the CEO as he connects with staff, board members, ministry partners, and external stakeholders, all in alignment with the Time of Grace mission to point people to what matters most: Jesus. Responsibilities (Key responsibilities in italics) : Executive Support and Calendar Management Manages the CEO's calendar, ensuring priorities are aligned with organizational strategy and ministry objectives as directed. Proactively coordinates and schedules meetings, appointments, travel, speaking engagements, donor visits, and ministry events while maintaining time periods for CEO's focused task work. Supports the CEO in preparation, day of, and follow-up to quarterly board meetings. Provides administrative support in a similar capacity to the Chief Advancement Officer (CAO) and other leadership team members as requested. Communication and Correspondence Management Serves as a primary liaison between the CEO's staff, board members, donors, ministry partners, vendors, and community stakeholders. Supports communication flow by screening incoming requests, emails, calls, and inquiries while directing matters appropriately. Aids CEO with legal documentation of contracts and editing of drafted communications. Administrative Operations and Project Coordination Whenever possible, routes information and clarifications from the office of the CEO to enable the other leaders to make decisions. Oversees administrative workflows that support the CEO's office and organizational effectiveness. Maintains timelines and deadlines for initiatives owned by the office of the CEO through utilization of scheduling and project management software. Performs other duties as required.
Qualifications:
Education:
No formal requirement Ideally more than five years of experience in working with the C-suite, board of directors, and/or lead pastor A sincere desire to serve others ahead of self-achievement A passion to learn Exceptional organizational, prioritization, and time management skills Ability to manage multiple priorities and shift deadlines with composure Strong written and verbal communication skills with exceptional attention to detail Ability to exercise confidentiality, discretion, and emotional intelligence for sensitive matters Ability to anticipate needs swiftly and exercise judgement to solve problems Strong proficiency in Google Suite, project management platforms, and collaboration tools (Asana and Slack) Eagerness for use of AI in daily work Passion to "point people to what matters most: Jesus" Agreement with Time of Grace's Statement of Faith, Mission, Values, and Promises (see below) Ability to lift thirty-five pounds Attendance at the Time of Grace annual multiday retreat required. Retreat occurs in Wisconsin in July or August each year.
Hours and Location:
Full time: forty hours per week Part time: twenty-five to thirty hours per week will be considered (five days/week)

80% on-site, one day per week at home/remote
Relationships:
Reports to CEO with additional support to the CAO Key internal relationships: executive leadership team, board of directors, ministry staff, and operations teams Key external relationships: board of directors, donors, ministry partners, consultants, vendors, speakers, and community stakeholders.
