Job Description

Job Summary Hope Healthcare Services is seeking a dependable, organized, and proactive Office Manager to support the daily operations of our office in Reno, Nevada. This role is essential to keeping administrative functions running smoothly and ensuring that staff, records, communication, and office workflows are handled efficiently and professionally. The ideal candidate is someone who can take ownership of office coordination, stay on top of multiple priorities, maintain accurate records, and provide strong support to leadership in a fast-paced healthcare environment. This position requires sound judgment, attention to detail, professionalism, and the ability to work independently. Key Responsibilities Oversee day-to-day office operations and administrative workflow Maintain organized filing systems for employee, client, and operational records, both paper and electronic Support document tracking, internal reporting, and data entry in company systems and spreadsheets Assist with timesheets, payroll support tasks, and follow-up on missing or incomplete documentation Coordinate phone coverage, office communication, scheduling support, and general correspondence Prepare memos, forms, letters, and other internal documentation as needed Support compliance-related administrative tasks, including tracking required documents, training records, and items needed for audits, licensing reviews, or internal monitoring Help ensure records are accurate, complete, and maintained in an organized and timely manner Provide administrative support to leadership and assist with special projects as assigned Maintain professionalism and confidentiality in all office operations Perform other duties as assigned Qualifications High school diploma or GED required Minimum of 2 years of office administration, office management, or related experience preferred Strong computer skills, including Microsoft Word, Excel, Outlook, and general database/data entry work Excellent written and verbal communication skills Strong organizational skills with close attention to detail Ability to manage multiple tasks, prioritize effectively, and meet deadlines Ability to work independently and maintain reliability in a fast-paced office environment Professional attitude, sound judgment, and willingness to learn Ability to maintain confidentiality with sensitive employee and client information Must be able to pass a background check Valid driver's license or state-issued ID required Preferred Qualifications Experience working in healthcare, human services, Medicaid, residential services, or developmental disability services Experience supporting compliance, personnel files, audits, or licensing documentation Experience with payroll support, scheduling, or staff record tracking Work Environment This position is based in the office and requires regular attendance, organization, and follow-through in a team-oriented professional setting.
