Simple Solutions IT is seeking a dependable, organized, and customer-focused Office Manager / Billing & Service Coordinator to help manage the day-to-day administrative and business operations of our growing IT services company. This position can begin part-time and grow into a full-time role based on experience, performance, and the needs of the company. The position will include a combination of onsite work at our Moss Point office and remote work once the employee is trained and comfortable with our systems and procedures. This position will work closely with the owner and a team of IT technicians , helping coordinate customer requests, service tickets, scheduling, billing, purchasing, and follow-up. You will serve as an important link between our customers and technical team, helping make sure technicians have the information they need and that customer requests and administrative items don't fall through the cracks. We are looking for someone who wants to take ownership of responsibilities—not simply wait for the next task. You do not need to be an IT technician. We will train the right person on our ticketing and business management systems. Responsibilities The person in this position will assist with and eventually take ownership of responsibilities including: Work closely with our team of IT technicians to coordinate customer requests, scheduling, ticket updates, and follow-up Review completed service tickets for accuracy, completeness, documentation, and billing Review open service tickets and identify items requiring customer or technician follow-up Help technicians stay organized by identifying outstanding tickets, customer responses, scheduling needs, and administrative items requiring attention Prepare and process customer invoices Review customer accounts and professionally follow up on outstanding invoices and payments Contact customers regarding billing, scheduling, service requests, and other administrative matters Answer and route incoming customer calls and requests Help ensure service tickets are properly documented, updated, and closed Maintain accurate customer contact, account, and billing information Assist with scheduling service calls and coordinating appointments between customers and technicians Assist with purchasing, purchase orders, vendor invoices, and order tracking Maintain organized electronic records and documentation Assist with recurring customer billing and service agreements Review administrative reports and identify items requiring attention Help develop and improve administrative procedures and workflows Work directly with the owner and technical team to keep daily business operations organized Perform other office management and administrative duties as needed What We're Looking For The ideal candidate is someone who: Is highly organized and pays close attention to details Enjoys working as part of a team and coordinating with multiple people Takes initiative and recognizes when something needs attention Communicates professionally and comfortably with customers by phone and email Is comfortable discussing invoices and professionally following up on past-due accounts Can communicate effectively with technicians and customers and help keep everyone informed Can work independently, especially when working remotely Is dependable and follows through on responsibilities without constant supervision Is comfortable learning new computer software and business systems Can manage multiple tasks and priorities in a fast-moving service environment Has strong written communication and basic math skills Understands the importance of confidentiality when handling customer and company information Is comfortable working in a technology-focused environment without needing to be an IT technician Is willing to ask questions, learn new processes, and help improve the way things are done Preferred Experience Experience in one or more of the following is helpful but not required: Office administration or office management Accounts receivable, invoicing, or bookkeeping Customer service Coordinating or scheduling a team of employees or service technicians QuickBooks or similar accounting software Microsoft Outlook, Word, and Excel Ticketing, CRM, or professional services software Purchasing or vendor management Managed IT services, telecommunications, or another service-based business Experience with our specific software is not required . Training will be provided.

Monday through Friday, primarily during normal business hours. Exact hours can be discussed based on the candidate and company needs.

Moss Point, Mississippi Work Arrangement:
Hybrid - combination of onsite and remote work. Initial training and certain responsibilities will require onsite work at our Moss Point office . Once trained, some responsibilities may be performed remotely. Employees must be able to work independently and remain available and responsive during scheduled remote work hours.
Compensation Pay:
$16.00-$24.00 per hour , depending on experience, qualifications, and ability to take on responsibilities independently. Candidates with strong accounts receivable, bookkeeping, office management, service coordination, or similar experience may be considered toward the higher end of the range. Candidates with less experience but strong organizational, communication, and customer-service skills are encouraged to apply. We are willing to train the right person. The position has the opportunity to grow in hours, compensation, and responsibilities as the employee becomes familiar with our business and takes ownership of additional functions. What Success Looks Like A successful person in this position will become a key part of our team and the go-to person for the administrative side of our business. Customers receive timely and professional responses. Technicians have the information they need and know what requires follow-up. Invoices are accurate and sent promptly. Outstanding accounts and open tickets are followed up on. Customer records stay organized. Purchasing and administrative matters are tracked. Problems are noticed before they become bigger problems. Most importantly, this person will help our technical team spend more time helping customers and less time handling administrative tasks , while helping company leadership keep the business organized and growing.
