Job Summary We are seeking a dynamic and highly organized Office / Operations Manager at our Leesburg Pike Campus. This vital role involves overseeing daily office activities, building and grounds maintenance, managing vendor relationships, and ensuring smooth operational workflows. The ideal candidate will be proactive, detail-oriented, and possess a strong background in office and building management to support our school's mission and growth.
Key Responsibilities:
Daily Office Management Manage daily office operations, including answering phones, responding to email, greeting visitors, and handling attendance and other administrative tasks like managing student files, licensing documentation and medications in school. Manage inventory for office supplies, cleaning supplies and classroom groceries, and monitor deliveries Implement operational procedures and protocols, including emergency response plans, on-site inspections and fire drills. Ensure compliance with federal, state, and local regulations, as well as confidentiality standards Coordinate event planning for school functions, meetings, and community activities to ensure seamless execution Building and Grounds Maintenance Manage and maintain a clean, organized and safe school environment, ensuring that all common areas of the school are well-kept and attractive for visitors. Enable timely repairs and replacement for break downs Manage annual outdoor and indoor preventative maintenance and annual inspections. Be the point of contact for vendors and contractors and be confident in negotiating and ensuring completion of work in a timely manner Proactively prevent breakdowns, be creative in problem solving and take responsibility for the smooth operations of the campus Manage and lead snow clearing, seasonal garden maintenance, daily janitorial service, technology needs (printers, laptops, internet etc) and one off campus projects and Qualifications Proven experience in office management, building maintenance or administrative roles within an educational or medical setting preferred Strong people skills with ability to coordinate with internal and external customers Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and spreadsheets Exceptional organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment Excellent communication skills for client interaction, staff coordination, and vendor negotiations Experience handling confidential information with discretion and professionalism Ability to manage multiple responsibilities including scheduling, clerical tasks, and front desk operations with a positive attitude Join us to be a key part of an inspiring educational community where your organizational talents will help foster a nurturing environment for students and staff alike!
