Job Description

Administrative Assistant to
Director of Education Pay:
$22.00 - $26.00 per hour

Full Time Reports to: Director of Education (DOE) About the Role The Administrative Assistant supports the Director of Education (DOE) in the daily operations of the academic department — managing calendars and communications, coordinating course and lab scheduling, supporting curriculum and compliance work, and assisting faculty. This is a hands-on role for someone organized, detail-oriented, and comfortable using modern tools including AI-assisted workflows. Responsibilities Executive Support Manage the DOE's calendar of appointments and events Draft, review, and send communications on behalf of the DOE as requested Organize and prepare for meetings, including gathering documents and coordinating logistics Screen and respond to phone calls, relaying messages and information to the DOE as needed Prioritize and respond to emails when appropriate Faculty & Course Coordination Provide faculty support, including scheduling, onboarding logistics, and responding to faculty questions on the DOE's behalf Coordinate CPR/BLS and Venipuncture course scheduling — securing calendar approval, distributing schedules to faculty, and announcing course dates to faculty, students, and providers Coordinate MRI and Nuclear Medicine lab course scheduling — securing calendar approval, distributing schedules to faculty, and announcing course dates to faculty, students, and providers LMS & Curriculum Support Assist in managing the LMS Institution Page, including announcements, user permission verification, content updates, and troubleshooting (under DOE supervision) Support curriculum coordination — tracking updates, organizing documentation, and facilitating communication between faculty and administration Maintain and update Blackboard Learning Resource Center materials as needed Compliance & Administration Support research and development of academic policies in line with state and federal regulations Assist in preparing audits, annual reports, and state/federal accreditation documentation Maintain academic records and documents per DOE direction Coordinate travel accommodations and reimbursement documentation as needed Support the DOE on projects assigned by the Executive Directors Skills and Qualifications Excellent written and verbal communication skills required Experience with LMS management required; Blackboard Ultra experience strongly preferred Experience using AI tools at a research or applied level, including familiarity with AI agents Strong time-management, organizational, and multitasking skills High attention to detail Proficiency with common office software (e.g., Microsoft Office) Strong interpersonal skills BS in Education preferred Benefits Following successful completion of a 90-day probationary period, eligible employees receive: Medical insurance Dental insurance Vision insurance Life insurance IRA retirement plan All qualified applicants will receive consideration for employment regardless of age, race, color, sex, gender, religion, national origin, physical or mental disability, citizenship, or any other classes recognized by state or local law or any other characteristic protected under applicable federal, state, or local law.
