Job Description

Job Description Insight Global is searching for a Project Administrator to sit onsite at a large general contractor in Moreno Valley, CA. The Project Administrator will be trained onsite at the healthcare project location in Moreno Valley. The schedule will be Monday through Friday, 7:00 AM-4:00 PM PST, with a one-hour lunch break. In this role, the Project Administrator will serve as the first point of contact for the company and support office personnel as both a resource and leader. The Project Administrator will also coordinate and schedule the required health screening process for all individuals entering the construction site to ensure compliance with site and safety requirements. A successful candidate will demonstrate strong management practices and proficiency in administrative processes and procedures, including leadership, organization, prioritization, and problem-solving skills, while working harmoniously with others and maintaining a high level of professionalism. The core duties, responsibilities, and skills include the following:
  • Work independently and organize complex clerical tasks.
  • Ability to be flexible and adaptable in a variety of situations.
  • Meet strict timelines and perform multiple tasks.
  • Track and manage costs by handling miscellaneous invoicing, performing cost coding, and applying and processing requisition codes.
  • Welcome all visitors by greeting them in person or on the phone.
  • Communicate in a positive and effective manner with staff, vendors, subcontractors, and visitors.
  • Answer incoming phone calls, transfer calls appropriately, and monitor office voicemail and fax inboxes.
  • Distribute incoming mail/packages and prepare all outgoing mail.
  • Perform various data entry tasks as needed.
  • Manage site badging by granting or denying access to the construction site as appropriate.
  • Coordinate, schedule, and manage the end-to-end health screening and appointment booking process for construction site access.
  • Maintain a high level of confidentiality when needed.
  • Performing other ad hoc duties as needed.
