Job Summary Administrative Assistant Sloat Law Group, APC is seeking a highly organized, detail-oriented Administrative Assistant to support our Partners, Law Office Manager, and President. This position is ideal for a dependable professional who enjoys variety, can manage multiple priorities, and takes pride in providing excellent support and client service. The Administrative Assistant plays an important behind-the-scenes role in keeping our law firm organized and running efficiently. Responsibilities include administrative and executive support, client intake and reception, marketing assistance, event coordination, and general office operations. Key Responsibilities Provide administrative support to the Partners, the Law Office Manager, and President. Manage calendars, appointments, meetings, deadlines, and travel arrangements. Draft, proofread, edit, and format correspondence, presentations, reports, and other materials. Assist with meeting preparation, take notes when requested, and track follow-up items. Answer, screen, and route telephone calls, emails, and other communications. Conduct prospective client intake interviews, gather required information, and schedule consultations. Maintain organized electronic and physical files and accurate records. Assist with seminars, webinars, client events, presentations, and other firm functions. Support newsletters, client alerts, social media, website content, and other marketing projects. Create and update PowerPoint presentations and marketing materials. Coordinate with vendors and other third parties as needed. Assist with special projects and other administrative responsibilities as assigned. What We're Looking For The successful candidate will have excellent organizational and time-management skills, exceptional attention to detail, and strong written and verbal communication skills. This position requires someone who can prioritize competing responsibilities, meet deadlines, maintain confidentiality, exercise sound judgment, and work both independently and collaboratively. Candidates should be dependable, professional, punctual, comfortable learning new technology, and able to adapt to changing priorities in a professional office environment. Experience with Microsoft Office, Adobe Acrobat, document or case management systems, social media, video conferencing platforms, and AI tools such as ChatGPT, Claude, or Gemini is helpful. Training will be provided on firm-specific systems, including Clio and NetDocuments. Preferred Qualifications 3-5 years of administrative, legal assistant, legal secretary, or office experience. Law firm or other professional services experience preferred. Paralegal certification or current enrollment in a paralegal certification program is a plus. Client intake and customer service experience. Experience with presentations, marketing materials, or social media content is a plus. Bilingual English/Spanish preferred.
Pay:
$20.00 - $25.00 per hour Expected hours: 40.0 per week
